Simplify the management of employee leave by activating a setting to automatically approve employee holiday cancellation requests.
How does the holiday cancellation automation feature work?
Within the holiday approval automation feature, you can manage leave cancellation settings to determine whether employee cancellation requests against booked leave are automatically approved.
By default, the account is set up to require approval for leave cancellation requests.
If automatic leave cancellation approval is enabled, cancellations will trigger an email notification to the employee's holiday approver.
Enabling the holiday approval automation feature
The Holiday approval automation feature must be enabled to automatically approve holiday cancellation requests. This feature is available as an included module for Regular plans and above.
The feature is enabled by default in your Breathe account. However, you have the flexibility to turn it on or off. Here's how:
Navigate to Configure > Settings > Modules > Included modules and ensure the 'Holiday approval automation' module is ticked.
Managing holiday cancellation approval settings
Automated holiday cancellation approval can be managed by navigating to Configure > Settings > Absence settings > Holiday approval automation > Company > Cancellation settings > Tick/Untick 'Leave cancellation needs approval' > Update cancellation settings.
Email notifications
If automatic leave cancellation approval is enabled, cancellations trigger an email confirmation to the employee's holiday approver.
If automatic approval is disabled, cancellation requests are sent to the employee's holiday approver for manual approval.
Emails will instead be sent to the employee's line manager if no holiday approver is assigned and line managers are granted permission to manage leave.
In cases where an employee is not set with a holiday approver and line managers are not authorised to manage leave, HR users will receive leave cancellation emails.
Reporting on cancelled leave
The Cancelled leave report displays cancelled leave records, including holiday cancellations automatically approved through automation.
This report can be accessed by HR users and Line Managers (if permissions are enabled) by going to Reports > Absence reports > Cancelled leave.
Cancellations that didn't require approval will show as approved by the user who cancelled the booked leave
FAQs
Q: Do holiday automation rules also apply to Other leave?
A: Other leave is not subject to automation rules. Cancelled Other leave requests require manual approval by the employee's holiday approver or line manager.
