Book a client into a class using the step-by-step wizard: Client → Pass → Spot → Confirmation.
Step 1. Go to Class overview, open the class, and select Book a client.
Step 2. Search for the client by name or email and select them, or select Create profile if they're new. You'll see an alert if their profile is missing an email or a required tag.
Step 3. Choose a pass. Passes are grouped into Compatible, Incompatible, and Bill new pass tabs.
The recommended pass (fewest credits) is pre-selected.
Hover a pass to see credits remaining after booking.
Incompatible passes show a reason, like "Expired," so you can explain it to the client.
No compatible pass? Use Bill new pass to sell one on the spot.
With the manage-credit permission, turn on Waive credit to skip the credit deduction. A pass is still required.
Step 4. (Recurring classes) Check Book future dates to pick more classes to book now, limited by the client's available credits. This doesn't set up a recurring booking — rules that automatically book classes in advance are still set up from the client's profile.
(Series) Use the Upcoming/Past tabs to pick any classes to book, even outside the series' own rules. You'll see a warning if this overrides them.
Step 5. (Regular classes, if Spot Selection is on) Choose a spot. For recurring classes and series, a spot is assigned automatically for now — change it afterwards from the three-dot menu on the booking.
Step 6. Review the summary and confirm.
"Send confirmation email" is on by default — turn it off if you don't want to notify the client.
Booking a class that's already started or finished? Confirm the prompt to proceed.
Class full? Book anyway if you have permission, or select Add to waitlist — shown only when the class is full.
You'll get a confirmation once it's done, and the client appears in the class roster straight away. An unpaid balance shows as a red chip next to their name.
Known issue: "Create profile" opens the legacy sign-up form in a new window. The new client still appears in search without a refresh.
Common questions
Why do I still have to pick a pass when I toggle "Waive credit"?
No booking can exist without a pass. With Waive credit on, no credit is deducted, but the visit is still recorded.
What's the difference between "Book future dates" and a recurring rule?
"Book future dates" books the classes you pick now, limited by available credits. A recurring rule books matching classes automatically in advance, and it's still set up from the client's profile.
A client has no compatible pass — can I still book them?
Yes. Use Bill new pass, or add them to the waitlist if the class is full.
Can I change the pass after the booking is made?
Yes — swap it from the booking detail view, no need to cancel and rebook.
