Manage the capacity of a room taking into account the teachers

The aim of this training is to enable you to manage the capacity of your rooms according to the number of students and teachers.

By default, the capacity of a room only takes into account the students. However, it may happen that your room cannot accommodate more than a few students, including teachers.

Please note: room capacity is only used to calculate availability for appointments.

1st Step: Set the room capacity.

Your room can only accommodate 30 people, teachers and students included.

In My Studio > Establishments > Click on the relevant establishment > Click on "Modify" > In "Maximum capacity" enter 30.

2nd Step: Set up appointments to include teachers.

In My Studio > Appointments > Select an appointment type.

Add or modify a type of session. Enter "2" in the "Number of people" box.

This way, when booking, you take into account that there are two people: the client and the teacher.

3rd Step: Set up the activities to take into account the teachers.

Attention: here, the room capacity determined in Step 1 does not come into play.

The example here is for cases where health issues require that there is a maximum of 10 people including the teacher.

Usually, the activity can accommodate 10 people. You will need to change the number of people in the session to 9 so that there are only 10 people in the room. Go to Calendar > Date of the session > Create or modify a session. On the field "available spots" include the number of slots only for students:
