Manage the reservation of a part of the room by a coach

This training aims to enable you to rent your rooms or parts of your rooms to your independent coaches.

You may encounter the following situation where you "rent" part of the room to a coach who may come randomly with his student to your room.

1st Step: Create an appointment for the coach to rent the room.

In My Studio > Appointments > Create an appointment > Fill in the form.

  • Name the pass and choose the category.

  • Choose "In one of your establishments" and select the room(s) you want to make available for the coaches.

  • Choose whether or not to uncheck the boxes "Requires the whole room" and "Allow choice when booking".

  • Select "Without teacher" because it is the coach who books and not the client.

  • Description.

  • Choose "Visible for clients" because the appointment must be visible for the coach to book it himself by logging into his client account.

Click on "Save".

Don't forget to create the sessions associated with the appointment and define the availability of the rooms.

2nd Step: Create a coach-specific appointment card.

In Products > Appointment pass > Create an appointment pass > Name your pass > Indicate the price that the coach pays to access the room with his student > Check "Invisible to customers". Also. indicate the type of appointment it will be compatible with in the field at the bottom (otherwise it won't work):

Checking "Invisible to clients" will prevent clients and coaches from charging themselves for the pass. It will be up to the manager to charge the pass to his coaches on his side so that they can use it.

3rd Step: Bill the coaches.

Attention: In order for them to make appointments, you must invoice the coach appointment pass yourself as they will not be able to purchase it.

In the search bar, search for the coach (his customer account) > Click on "Bill" > Click on "Appointment passes" > Select the pass for the coach > Click on "Add to invoice" > Click on "Issue invoice"

  • Or the coach pays immediately and you can register a payment method.

  • Or he will pay later, don't select a payment method and register directly. The amount due will appear on the teacher's account.
