Manage a private organization that books a room or a class only for its members

The aim of this training is to enable you to manage clients such as companies or private organizations.

You may encounter the following situation where you offer a course that can only be booked by a private organization. Here is a method to deal with this situation.

1st Step: Create a member file for the private organization.

To create a member record, click on the following icon in the top right corner of your screen :

Fill in the form:

  • Enter in first and last name the title of the organization.

  • Enter the email address of the organization.

  • Enter the other necessary information.

Click on "Save".

2nd Step: Create an appointment for the "room rental" or the course for the organization.

In My Studio > Appointments > Create an appointment > Fill in the form.

  • Name the pass and choose the category.

  • Choose "In one of your establishments" and select the room(s) you want to make available for the organization.

  • Choose whether or not to uncheck the boxes "Requires the whole room" and "Allow choice when booking".

  • Uncheck "No teacher" if the organization wishes to rent the room and have a teacher for a class. Choose the teacher(s) who may or may not teach in the room.

  • Description.

  • Choose "Invisible for the customers" so that the organization can go through you (for example: by phone) to make a reservation. Or choose "Visible for customers" if you want it to be autonomous.

Click on "Save".

Don't forget to create the sessions associated with the appointment and to define the availability of the rooms.

3rd Step: Create an appointment pass specific to the organization.

In Products > Appointment passes > Create an appointment pass > Name your pass > Indicate the price the organization pays to access the room once > Check "Invisible to customers".

Checking "Unavailable for purchase" will prevent customers and the organization from purchasing the card by themselves. It will be up to the manager to bill the organization for the pass on his side so that they can use it.

You can decide to include multiple credits in the pass and adjust the corresponding price so that the organization uses the same pass each time and you will not need to charge them for each reservation.

NOTE: Make sure you connect the appointment pass to the corresponding appointments at the bottom of the appointment pass form.

4th Step: Bill the organization.

Attention: In order to make an appointment, you must invoice the appointment pass yourself as the organization will not be able to purchase it alone.

In the search bar, search for the organization (its customer account) > Click on "Bill" > Click on "Appointment passes" > Select the pass for the organization > Click on "Add to invoice" > Click on "Issue invoice".

  • Or the organization pays immediately and you can register a payment method.

  • Or it will pay later, do not select a payment method and register directly. The amount due will appear on the profile's account.
