Managing Your Documents with File Manager

Introduction

The Control Panel > File Manager in Bukku serves as the central storage space for all files uploaded to your account. Whether you upload documents directly in the File Manager, add them through Digital Shoebox, or attach them to transactions across various modules, all files will automatically appear here, giving you one convenient place to access and manage everything.

Uploading Files

You can upload documents to Bukku from several locations, depending on your workflow. Regardless of the upload method, all files will automatically be stored in the Control Panel > File Manager.

Files can be uploaded from three locations:

  1. File Manager (Direct Upload)

    • Upload documents directly from your device by clicking the Upload button at Control Panel > File Manager. This is ideal for quickly adding files that are already saved on your device.

  2. Digital Shoebox

    • Digital Shoebox offers multiple ways to upload documents such as receipts, bills, and supporting files:

      • Upload from your computer

      • Send files via WhatsApp on mobile

      • Email documents to your unique Shoebox email address

  3. Transaction Attachments

    • You can also upload or attach files directly while creating or editing a transaction in modules such invoices, bills and more.

    • Within the Attachment section of a transaction, you may:

      • Drag and drop files to upload, or

      • Select existing files from the File Manager that have already been uploaded.

Note: All uploaded documents and attachments in the File Manager count toward your storage quota.

Understanding File Status

Each file in the File Manager includes an indicator showing whether it is linked to a transaction:

  • Lock icon — The file is currently attached to a transaction or setting. These files cannot be deleted unless they are first removed from the related transaction or setting.

  • No lock icon — The file is not attached to any transaction and can be safely deleted if no longer needed.

Viewing and Managing Files

  • To view a file, hover your cursor over the file thumbnail. A magnifier icon will appear—click on it to open and view the document.

  • To delete files in bulk, select multiple unused files and then click the Delete button.

  • Use the search bar to find a file quickly—just type the file name, and matching results will appear.
