NDIS Support coordination (SC) using Core budget codes - How can I use them instead of the standard 07 Support coordination category

This applies only if you want to charge participants out of their Core supports NDIS codes instead of the standard support coordination code

Support coordination can use Core budget

For providers of Support Coordination, NDIA have now expanded Support Coordination for a Participants core budget. Currently Careflo defaults to 07 category level 2 for the NDIS charge code. This means all timesheet entries uses the same rate and code. 

Suggested handling

We suggest that you continue as you do now using Case notes and Timesheet entries (which will use the existing 07 codes), and if you get errors when claiming (meaning the participant has run out of SC budget) then you can simply modify that Claims item and update the NDIS code to be the Code support code instead. 

In other words, override the NDIS code in the Claims item: Finance -> NDIS Claims Items -> [select claims item] -> Click Update -> Save with updated NDIS code.

The NDIS codes have been included for reference at the bottom of the article.

We have included detailed options below if you would like to use the new Support Coordination codes across the board, however we don't believe that is the intention from NDIA.

Other options beyond suggested handling

Option 1 - Create SC timesheets as visits in your Scheduler instead of using SC timesheet entries:

Firstly, you can create a charge band named support coordination core, add the codes under the day rate, evening rate and early rate and if you wish to add sat or sun rates. How to add a Charge Band
From there you can create service requests SCHEDULE>Add Service Requests, possibly naming it Support Coordination Core and then proceed to add visits and enter the details for the visit as opposed to using the timesheet entries. You can clone visits which makes it easier to register the visit. These visits will be picked up in your financial run and could just add case notes only in the Support Coordination section and not timesheet entries at the same time as adding the case note.

Option 2 - Create SC timesheets using Information module and Charge Fees + Payroll adjustments

Notification to add Charge Fees and Payroll adjustments:

In Support Coordination, you could add notes only, not timesheet entries, then advise the person running the financials of SC totals per Participant which can be attributed as Charge Fee, and Coordinator time can be added as a Payroll Adjustment.

You can create an Information tag (ADMIN>Information Tag>add info tag) named "SC Core" for example, and give Information module access to Support Coordinators’s who can create new Information items with this tag to write notes and identify time spent - Be aware this gives them access to view all Information module contents.

Before running your financials you can total the time, close off the Information item, add a charge fee add a payroll adjustment before running your financials.
