SOP: Managing No-Shows and Cancellations in the Chalk It Bro System

Objective:

To effectively track and manage no-shows and cancellations in the Chalk It Bro system in order to maintain accurate membership limits and optimize class attendance.

Key Steps:

  1. Tracking No-Shows:

    • Navigate to the Reports Attendance column under Coaches.

    • Sort the date range to view no-shows from the previous month.

    • Check for the presence of no-shows; if there are any, they will be displayed.

    • Click on the number to see specific class and time details of the no-show.

  2. Managing Cancellations:

    • Access the cancellations tab to determine how many hours prior to the class a cancellation was made.

    • Monitor recurring cancellations to assess their impact on class availability.

    • Use this information to address issues with members who frequently cancel classes.

  • Ensure that no-shows are accurately tracked to maintain membership limits.

  • Address recurring cancellations promptly to optimize class availability.
