How do I schedule, change or delete a class?

Add, edit, and remove classes on the Schedule page of your Studio Control Panel.

Classes are scheduled on the Schedule page of your Studio Control Panel at studios.ciclozone.com, where you can also change or delete a class you have already scheduled. You click an empty time slot, pick a Virtual, Live or Free Style class from the Library, and save it. Assign an instructor to a Live or Free Style class — a Free Style class will not save without one, and a Live class will save but leave the instructor with no Trainer Dials to teach from. You need Studio Owner access, or if you are a trainer, permission to schedule classes.


Where scheduling happens

Scheduling starts on the Schedule page of your Studio Control Panel, where you can view your studio timetable and update it from any device.

Click the empty time slot where you want the class (or on existing class that you would like to change). The Class Details panel opens on the left — showing the trainer, date, time, and the maximum duration (the time available until the next class in your schedule) — and the Library opens on the right.

How do I schedule a Virtual class?

Virtual classes are pre-recorded with an on-screen instructor and play automatically, so you do not need an instructor in the room. They are available 24/7 for unstaffed slots, and their licensed music is bundled into your subscription.

To schedule a Virtual class:

1. Open the Schedule page and click the empty time slot you want to fill.

2. In the Library on the right, set the Class Types toggle to Virtual.

3. Browse the Ciclo Library, your Studio Library, or Favourites, or search for a class by exact name.

4. Narrow the list with the Virtual filters: time / duration, intensity, average RPM, stand-up cadence range, instructor language (English, Spanish, Portuguese) and on-screen instructor.

5. Or choose Random Virtual Classes to have CicloStudio auto-pick a class by duration and intensity.

6. Click the info icon on a class to preview its intervals, intensity and RPM, then click "Select".

7. The class appears in Class Details. Click "Save".

The Virtual class now shows in that time slot on your schedule. No instructor needs to be assigned to a Virtual class — it plays on its own.

How do I schedule a Live class?

Live classes use the same structured class profile as Virtual classes, but with no on-screen instructor — the studio screen shows the class profile over the class's background (a road-style scene, or one of the others — see "What backgrounds are available?"), and your instructor leads the class in the room. The instructor follows the class structure on their own device using the Trainer Dials, and can trigger challenges to vary the session live. Licensed music is bundled.

To schedule a Live class:

1. Open the Schedule page and click the empty time slot you want to fill.

2. In the Library, set the Class Types toggle to Live.

3. Filter the Live classes if helpful. Live classes use the same filters as Virtual, except trainer and language.

4. In Class Details, assign an instructor from your team list. Assigning them is what unlocks their Trainer Dials.

5. Click Save.

The Live class now shows in that time slot on your schedule, with the assigned instructor's name against it.

What happens if you don't assign an instructor to a Live class?

The class still saves and still runs — this is not blocked, and it can be a deliberate choice.

If you meant to have an instructor teaching: assign them. Without being assigned, they will not get the Trainer Dials on their own device, which means they cannot see the current and next interval (so they'd be teaching blind), change the leaderboard metrics during the class, or start challenges.

If you didn't: an unassigned Live class is a perfectly good option in its own right. It plays much like a Virtual class — the class profile and background on the studio screen, licensed music, and every rider's own targets on their Rider Dials — but with no instructor on screen, and therefore no virtual instructor voice. Some studios choose this deliberately when they want a structured, music-and-visuals ride with nobody talking over it.

If the Trainer Dials do not appear for your instructor: they must have been invited to your studio via the Team tab, and the email on their CicloZone app account must match the email on the invitation. See “How do I assign a trainer to a class slot?”

How do I schedule a Free Style class?

Free Style classes have no pre-set class profile. Your instructor controls the whole session live — RPM, zones and intensity in real time — from their own device using the Free Style Dials. Riders see their normal Rider Dials, exactly as they would in any other studio class. Because a Free Style session is not pre-planned, it needs two things a Virtual class does not: an assigned instructor and an end time.

To schedule a Free Style class:

1. Open the Schedule page and click the empty time slot you want to fill.

2. In the Library on the right, set the Class Types toggle to Free Style.

3. Select the Free Style Background class preview and click "Select". The background you pick here is what riders will see — your instructor can change it from their phone from 5 minutes before the class starts. See "What backgrounds are available?"

4. In Class Details, assign an instructor from your team list. A Free Style class cannot be saved without an instructor — the Save will be blocked. This is different from a Live class, which will save without one. A Free Style session has no pre-set profile, so without an instructor on the Free Style Dials there is nothing driving the class at all.

5. Set the class end time. The duration you choose must be shorter than the maximum duration shown in Class Details — that maximum is the time available before the next class in your schedule.

6. Click "Save".

The Free Style class now shows in that time slot on your schedule, with the assigned instructor and the end time you set.

One thing to know about Free Style music: unlike Virtual and Live classes, Free Style classes do not come with bundled licensed music. The instructor plays their own music, and licensing it is the studio’s responsibility. See “Is class music licensed?”

Why can't I add the class I want to a time slot?

There are two reasons a class will not go into a slot: the class is longer than the time available, or you are scheduling a Free Style class without an instructor.

The class is longer than the time available

Every time slot has a Max Duration, shown in Class Details when you click the slot. It is the time available before the next class in your schedule. The Library only offers classes that fit inside the Max Duration, so a class longer than the gap will not appear in the list at all. If the class you are looking for is missing, that is usually why.

The Max Duration depends entirely on when the next class starts, so it changes from slot to slot — the same class may fit one slot and not the next.

This affects all three class types: Virtual and Live classes are pre-built with a fixed length, so each one either fits the gap or is not offered. Free Style classes have no fixed length, so you set the end time yourself — but it must still be shorter than the Max Duration.

For example, if your next class starts in 30 minutes, the Max Duration is 30 minutes, and a 45-minute class will not be offered for that slot.

To fit a longer class, give the slot more room:

  • Move the upcoming class to a later time to widen the gap.

  • Delete the upcoming class if you no longer need it.

  • Schedule your class in a different slot that has more time before the next one.

  • Choose a shorter class.

Check the scheduler afterwards to confirm the class landed in the slot you wanted.

You are scheduling a Free Style class without an instructor

A Free Style class cannot be saved until you assign an instructor in Class Details. A Free Style session has no pre-set profile, so without an instructor on the Free Style Dials there is nothing driving the class.

This is the only case where a missing instructor blocks the save. Virtual classes need no instructor at all, and a Live class will save without one — it simply runs with no instructor on screen and no instructor voice.

How do I change a scheduled class?

You can swap the class in any scheduled slot for a different one without deleting the slot.

1. On the Schedule page, click the existing class in the scheduler.

2. Choose a different class from the Library and click Select.

3. The new class appears in Class Details. Click Save.

The time slot now shows the new class. If you are changing to a Live or Free Style class, remember to assign an instructor — and for Free Style, set the end time.

How do I delete a scheduled class?

Deleting removes the class from the time slot and frees the slot up.

1. On the Schedule page, click the class you want to delete.

2. Click Remove from Calendar.

3. A confirmation appears. Click Delete.

The class is removed from your schedule immediately and the time slot is empty again.
