Register a Volunteer to an Event

Follow along with the video above to learn how to register a volunteer to an event.

If a volunteer does not currently have the Civic Champs app, or needs support completing their event registration, admins can manually register the volunteer for an event.

To begin, go to the Events Tab Select the Calendar button (outlined in red above). From there, select the date of the event your volunteer wants to be registered for.

If there are multiple events on the selected date, choose the blue hyperlink for the event that the volunteer wants to participate in (outlined in red above).

Once in the Event Overview, scroll down to the "Registrations" Section. Select the white "Add Volunteer" button in the upper right hand corner. A pop up will open, providing 2 drop downs

  • Account dropdown list of volunteer account names, including an option to "Add a New Volunteer" at the bottom of your list of Champions. Once you have selected your volunteer's account (or created a new volunteer profile), select the shift dropdown.

  • Shift dropdown containing the available shifts. Once selected, the available roles will populate for the admin to select (shown below).



For Account-Resistant Volunteers:


If the volunteer does not want to claim their account, and/or does not have an email/ phone number to use- an admin can use their organization email using the + sign tool when selecting "+ Add a New Volunteer" from the Volunteer dropdown in the registration section.


Example: Admin's email address is help@civicchamps.com
The volunteer that wants to be able to check in and out of my food pantry kiosk is named Paul.
The email the admin can use to create an unclaimed "shell account" to track Paul's hours and registrations is help+paul@civicchamps.com

Be sure to de-select the blue toggle (outlined in red above) before hitting submit. This will turn off the invitation email, preventing admin's from receiving invitations to claim the account. Click Submit and continue to selecting their shifts and roles.

Registering a volunteer for Multiple Shifts

If the selected volunteer is serving more than one shift, select Add another Shift to register them for another shift.

Then select the role they will be participating in. Click the blue "Add" button to complete registration.


Once registration is complete, you'll see the separate shifts and roles for each registered volunteer in the event "Registrations" section.
