How Does It Work for Schools?
When the Opt-in Cancellations feature is enabled, your school will receive an immediate notification if a casual cancels a booking. These notifications are sent via email and push notification (through the ClassCover app on your phone).
Things to note:
Turning on / off: You can turn this feature on or off through the ‘Admin Settings’ section of ClassCover. Only admins and main account holders have access to this menu.
Notifications: If enabled, all admins at your school will receive instant alerts via email and push notification whenever a casual cancels a booking. You’ll also have the option to find a replacement immediately, which will take you to the booking screen with the job details saved for quick rebooking.
If you choose not to use the in-app cancellation feature, you will need to provide an emergency contact number and email (other than the school landline) so casuals can contact the school if they need to cancel a booking.
How to Enable In-App Cancellations for Your School
Log into ClassCover (Desktop Version)
Access your ClassCover account on your computer.Go to Admin Settings
Navigate to Admin Settings and scroll down to the In-App Cancellations section. Click Edit.
Enable the Feature
Toggle the In-App Cancellations feature to ON. A pop-up will prompt you to download the ClassCover app (if it's not already installed) to receive push notifications for cancellations.
Confirmation and Notifications
Once enabled, you’ll receive an email notification for each cancellation, along with a link to rebook the casual. Cancellations will also appear in your school calendar for easy tracking.
How Casuals Can Cancel a Booking and Notify Schools
Casuals can cancel a booking on ClassCover, whether through the desktop or app version, by following these steps:
Log in to their ClassCover profile and navigate to the Calendar (on both desktop and app versions).
Find the booking they wish to cancel and select Cancel Booking.
A pop-up will prompt them to provide a reason for the cancellation. They need to enter the reason and confirm the cancellation.
They will receive a confirmation notification, and the school will be notified via email.
If the school has not enabled cancellations, they will be provided with the school's emergency contact details (phone number and email address) for direct communication.
This ensures the school is promptly notified of any cancellations, and provides an alternative point of contact if the cancellation feature is not enabled.
Without In-App Cancellations
For schools not using the in-app cancellations, casuals will see the emergency contact mobile number and email to reach out to for cancellations.
Casual Visibility
Casuals can also view which schools have opted into the in-app cancellation feature by going to their ‘My Schools’ screen.
