Integrating External Events into Your School Calendar

Want to keep track of school events like sports carnivals, pupil-free days, excursions, or bookings made outside of ClassCover? The External Events feature lets you log these directly in your ClassCover calendar, giving your school team a single place to manage everything related to staffing and scheduling.

Whether you’re planning ahead or adding in a one-off shift, External Events help ensure your calendar stays complete, accurate, and useful.

Why Use External Events?

  • Avoid double-booking: Clearly block out days when casuals won't be needed.

  • Centralise planning: View events and bookings together for better coverage decisions.

  • Enhance visibility: Keep your team informed of important school activities without needing a separate calendar.

Who Can View the School Calendar?

The School Calendar is only visible to ClassCover admin users and Relief Teacher Administrators (RTAs). It’s designed for internal use to help schools stay organised and manage relief coverage effectively.

Note: Casuals do not have access to the School Calendar. They manage their own personal calendars to update availability and view bookings relevant to them. Casuals will only receive notifications for bookings they are directly involved in – including updates or cancellations.

How to Add an External Event

Note: This feature is only available on the desktop version of ClassCover.

  1. Go to the Calendar

    Click on Calendar from the left-hand menu.

  2. Add an External Event

    Click on ‘Add External Events’ to create a new entry on your calendar.

  3. Fill in the Details

    • Add a clear title (e.g. “Year 6 Camp” or “Parent-Teacher Interviews”)

    • Select the date or range of dates

    • Add any relevant notes for internal context

  4. Save the Event

    Click ‘Save Event’ to add the external event to your calendar.

💡 Tips for Using External Events Effectively

  • Be descriptive with titles: Use event names that are clear to all admin users.

  • Schedule early: Add known events in advance so they’re considered during booking.

  • Pair with relevant bookings: Need a casual to cover a staff member at a sports day? Add the event and log the booking via ClassCover to keep everything in sync.

Can I Add External Events via the App?

Not yet. You’ll need to use the desktop version to add or edit External Events. However, your admin team can still view all calendar entries – bookings and events – on the mobile app for visibility on the go.
