How to create and manage subscriptions

Create subscription plans, add subscribers, and see how recurring payments and failed charges work.

Written by George

Subscriptions let customers pay for a plan on a recurring schedule instead of order by order. Go to More > Subscriptions to:

  • See your current subscribers.

  • Create and manage subscription plans.

  • Add customers to a plan.

The page has two tabs: Subscriptions and Plans.

Subscriptions tab

This tab lists every customer subscribed to one of your plans. Use the filters above the table:

  • Status: active, inactive or all.

  • Billing Cycle: how often the subscription is billed.

  • Plan: subscribers to a specific plan.

Each row shows the customer, plan, billing cycle, created date, Payments (successful payments taken) and Total Revenue from that subscription. A record count sits below the table.

Plans tab

This tab lists the plans your customers can join. Use the Status filter to show active plans. Each plan shows its name, price, billing cycle, price description, description, price list and whether it includes free delivery. Select the pencil icon to edit a plan.

How to create a subscription plan

  1. Go to More > Subscriptions > Plans.

  2. Select New Plan.

  3. Fill in the Details, Benefits and Products tabs, as described below.

  4. Select Add Plan.

The plan is created and customers can join it.

Details

  • Plan Name: the name of the plan.

  • Description: what’s included.

  • Billing Cycle: how often customers are charged, like weekly or monthly.

  • Plan Price Description: how the price shows to customers, for example “$20/month”.

  • Plan Price: the amount customers are charged.

  • Payment: how customers are charged.

  • Action After Join: something that happens when a customer joins:

    • Create Repeat Pickup: automatically set up a repeat pickup schedule.

    • Create New Order: automatically create an order.

  • Message After Join: a message shown to the customer after they join. It appears as a pop-up and isn’t sent by email or SMS.

Benefits

  • Assign a Price List: give plan members a specific price list.

  • Credit to Give per Billing Cycle: the amount of account credit customers get each cycle. It’s applied to their next order and billed with the next renewal.

  • Customer Credit Can Be Used: choose whether customers can use existing credit to pay for the subscription.

  • Free Delivery: give subscribers free delivery.

  • Ignore Minimum Order: let subscribers place orders below your usual minimum.

  • Tax Exemption: make subscribers exempt from taxes where applicable.

Products

Select Add Product to choose which products are included, then set the quantity for each. Subscription Product Limits control how many items or services a customer gets in their plan. You can set limits for individual products and add extra charges when a customer goes over their allowance.

How to add a subscriber

  1. Go to More > Subscriptions.

  2. Select New Subscriber.

  3. Search for the customer.

  4. Select the plan they should join.

  5. Select Create.

How subscription payments work

It depends on your payment setup.

Stores without integrated payments

  • Subscription amounts show under Unpaid Invoices.

  • Staff collect payment manually, for example in cash, and mark the invoice as paid.

Stores with integrated payments

  • Subscriptions are charged automatically through Clearent, Stripe or CleanCloud Pay.

  • A paid invoice is created when the charge works. If it fails, the invoice stays unpaid.

  • The customer must have a valid card saved to their profile for automatic charging to work.

If a payment fails

CleanCloud tries the saved card four times:

Day 16 (7 days later)

How customers see and buy subscriptions

Default: customers need an account

By default, subscriptions don’t show on the main page of your booking tool. Customers need to log in to see and buy one. This works well if you only want to offer subscriptions to existing members.

Optional: visible to everyone

You can show your subscriptions to all visitors on your booking tool’s main page, without a login. Customers can browse your plans, and when they pick one they’re asked to create an account and complete payment.

This setting needs to be turned on by our team. Contact Support to have it activated.
