Allow Members to Cancel or Suspend Memberships via the App

Members using your Custom Branded App can request to cancel or suspend their membership directly from the mobile app.

All requests must still be reviewed and approved by your gym, so you remain in full control of membership.

In this article, we’ll cover:


Set Up Membership Cancellation Policies

Cancellation policies can be configured at three different levels.

1. Gym-Level Defaults

Set your default cancellation settings here:

Account Profile → Memberships → Membership Cancellation Defaults

These settings apply to all new membership plans created after the defaults are set.

You can configure:

  • Notice period

  • Cancellation fee

  • Minimum membership length

  • Cancellation reasons


2. Membership Plan Level

You can customize cancellation rules for individual membership plans when creating or editing a plan.

Plan settings inherit gym defaults but can be adjusted. For example, you might:

  • Remove the cancellation fee

  • Set a higher fee for a specific plan

  • Change the notice period or minimum term


3. Individual Request Level

When reviewing a member’s cancellation request, you can override the plan settings for that specific request.

For example, you may:

  • Waive a cancellation fee

  • Adjust the notice period

  • Modify the cancellation date


Manage Cancellation & Suspension Requests

A Cancellation/Suspension queue appears on the People List page.

  • The queue shows a counter of pending requests

  • Access is controlled by user permissions


Handling Cancellation Requests

Edit Requests

While a request is pending, you can edit:

  • Cancellation reason

  • Fees

  • Cancellation date

Approve Requests

Approving a request will finalize the cancellation. Once approved, the request cannot be edited.

Decline Requests

You can decline a request and optionally send a message to the member explaining why.

View Change History

All updates are recorded in a Change Log on the request details page, including edits and approvals.


Handling Suspension Requests

Suspension requests work slightly differently from cancellations.

Editing Requests

Suspension requests cannot be edited at the request level.

Approving Requests

Approving a suspension request will trigger the existing suspension form, which must be completed to finalize the suspension.


What Members See in the App

Requesting a Cancellation

Members can request cancellation by:

  1. Logging into the mobile app

  2. Tapping the Profile icon

  3. Navigating to Settings → Memberships

  4. Selecting their active membership

  5. Tapping Cancel Membership

  6. Choosing a cancellation date and providing a reason

  7. Tapping Send Cancellation Request


Requesting a suspension

  1. Logging into the mobile app

  2. Tapping the Profile icon

  3. Navigating to Settings → Request a Suspension

  4. Entering the suspension start and end dates

  5. Tapping Send Suspension Request


Reminder: All cancellation and suspension requests must be reviewed and approved by your gym before they take effect
