Client Visibility Settings

Learn about your client visibility settings.

Updated over a week ago

Control when and how far in advance clients can see their assigned workouts. Customize visibility settings at three different levels to create personalized coaching experiences that match each client's preferences and needs.

What are Visibility Settings?

Visibility settings determine how much of their training program clients can see in advance. You can control whether clients view workouts days ahead, only the current week, or see their entire program at once.

Why Use Visibility Settings?

  • Prevent overwhelm - Some clients prefer seeing only today's workout

  • Build anticipation - Control when clients see upcoming challenges

  • Maintain focus - Keep clients concentrated on current training

  • Personalize experience - Match visibility to individual client preferences

  • Improve adherence - Reduce anxiety about future difficult workouts

Three Levels of Control

CoachRx offers visibility control at three hierarchical levels, with more specific settings overriding broader ones.

1. Organization Level Settings

Location: Organization settings

Purpose: Sets default visibility for all new clients

Scope: Affects future clients only, not existing ones

2. Program Settings

Location: Individual program settings

Purpose: Controls visibility for all clients in that specific program

Scope: Overrides organization defaults for program participants

3. Individual Client Settings

Location: Each client's profile

Purpose: Most granular control for specific clients

Scope: Overrides both organization and program settings

Setting Up Client Visibility

For Individual Clients (Most Common)

  1. Navigate to the client's profile

  2. Scroll to the "Visibility Settings" section

  3. Choose your preferred option:

    • Specific number of days in advance (e.g., 3 days, 7 days)

    • Current week only (Monday-Sunday view)

    • Full program visibility (see entire program)

  4. Click "Save" to apply changes

Visibility Options Explained

Days in Advance

  • Client sees workouts X days ahead

  • Example: "3 days" means they see today + next 3 days

  • Good for: Clients who like some planning but not too much

Current Week Only

  • Shows Monday through Sunday of current week

  • Resets each week automatically

  • Good for: Weekly planning approach, reducing overwhelm

Full Program Visibility

  • Client sees entire assigned program

  • Includes past and future workouts

  • Good for: Self-motivated clients who like long-term planning

Troubleshooting Visibility Issues

Common Problems and Solutions

"My client can't see their workout"

  1. Check visibility settings at all three levels

  2. Verify the workout date falls within visibility timeframe

  3. Confirm client's time zone is set correctly

  4. Ensure changes were saved properly

"Client sees too many/too few workouts"

  1. Review current visibility setting in client profile

  2. Check if program settings are overriding client settings

  3. Adjust days in advance or toggle week view

  4. Have client refresh their app

"Changes aren't showing up"

  1. Ensure you clicked "Save" after making changes

  2. Ask client to close and reopen their app

  3. Check that you're editing the correct client's settings

  4. Verify there are no conflicting program settings

Best Practices

Choosing the Right Setting

  • New clients: Start with current week only to reduce overwhelm

  • Experienced clients: Gradually increase visibility as they adapt

  • Anxious clients: Limit to 1-3 days to maintain focus

  • Planners: Full visibility for clients who thrive on long-term planning

Communication Tips

  • Explain the setting to clients when you change it

  • Ask for feedback about their preferred visibility level

  • Adjust based on adherence - if they're skipping ahead, reduce visibility

  • Use as motivation tool - reveal exciting workouts strategically

FAQ
