Building and Assigning a Workout Program

How to create workout programs, use templates, and assign them to your clients.

Written by Malene Malmkjær

Two Ways to Start

When you go to a client's profile → Workouts tab and click Add Workout Program, you get two options:

  1. Create new: start from scratch for this specific client.

  2. Duplicate from template: use an existing template as a starting point and customize it for the client.

Note if you are coaching multiple clients with similar programs, templates save you a lot of time.

Creating a Template

  1. Go to Workouts → Templates in the sidebar

  2. Click + New Template

  3. Give it a name, for example "Upper/Lower 4-Day Split"

  4. Start building your sessions

Templates stay in draft until you assign them. You can reuse the same template across multiple clients as many times you need.

The Workout Builder

Access the workout builder by clicking on a template. The builder has three tabs in the top-left:

  1. Exercises: your exercise library with 1,900+ system exercises. Search by name or filter by Muscle Group, Equipment, or Type. Click the + button next to an exercise to add it to the current session.

  2. Sections: your workout sessions. Each tab at the top represents a session (for example Push, Pull, Full-body). Click + to add a new session. Click the ⚙️ icon on a session tab to rename or configure it.

  3. Drag: You can drag to reorder exercises, move them between sections, or pull exercises out of supersets.

Adding Exercises

Before adding exercises you need to Create Session and then click + next to any exercise OR just drag to add it to the current session. For each exercise you can set:

  • Sets: number of sets

  • Weight: target weight in kg

  • Reps: rep range (for example 8-10)

  • Rest: rest time in seconds. Note: After a workout, you will see the actual rest your client took between sets on the workout overview - can be useful for spotting if they are consistently resting longer or shorter than defined.

  • Duration: for timed exercises like jump rope (hh:mm:ss)

Which of these fields you see depends on the exercise's set type. See Set Types below.

Once you have set everything it is possible to swap the exercises but keep the defined sets, reps, weights, etc. This way you can quickly edit and adjust the programs exercises without losing work.

You can also add a note on each exercise. Can be useful for cues, tempo instructions, or coaching notes.

The Exercise Menu

Click the "⋯" menu on any exercise to access:

  • Add alternatives: gives the client exercise swap options (they see a 🔄 icon in the app).

  • Add Superset: groups exercises together. The superset block shows in a highlighted group with shared rounds and rest time.

  • Add Drop Set: marks an exercise as a drop set.

  • Swap exercise: replace the exercise but keep the sets, reps, weight and rest you have already set.

  • Change set type: choose how the client logs the exercise, for example reps, time or AMRAP. See Set Types below.

  • Move to section: move the exercise to a different session.

  • Delete: remove the exercise from the session.

To remove an exercise from a superset, switch to Drag mode and drag it out of the group. You can also swap the exercises on supersets and alternative exercises.

Set Types

The set type decides which fields the client fills in when they log the exercise. Change it from the ⋯ menu → Change set type.

  • Weight & Reps: a fixed number of reps with a weight. The standard for most strength exercises.

  • Rep Range & Weight: a range such as 8-10 reps with a weight, so the client works within the range.

  • Time & Weight: timed work with a load, for example a loaded carry or a weighted plank.

  • Time & Distance: for cardio and conditioning, for example rowing or running. The client logs time and distance instead of reps.

  • AMRAP & Weight: as many reps as possible. The reps show as MAX, and the client logs how many they managed on each set.

Assigning to a Client

  1. Go to the client's profile → Workouts tab

  2. Click Add Workout Program

  3. Choose Create new or Duplicate from template

  4. Build or adjust the program

  5. Click Save

When you are ready, publish it to make it Live.

The client will see the program in their app immediately. You can publish by clicking the "⋯" menu to the right. Draft templates are not visible to the client.

Program Statuses

Workout programs behave slightly differently depending on where they live:

In templates (Workouts → Templates)

  • Draft: saved but not assigned to any client. Only visible to you.

On a specific client (Client → Workouts)

  • Draft: the program is assigned to the client but not published yet. The client cannot see it in their app until you publish.

  • Local changes: you have edited the program but the client still sees the previous version. Publish to push the update.

  • Live: the client sees this version in their app right now.

To publish a program or push changes, click the ⋯ menu next to the program and select Publish. Like illustrated in the screenshot above.

As a second option, you can click the workout plan - if the plan is not published, you will see a green Publish button. Click this to set the plan live.

Tips

Build templates first, then customize per client. Create base templates for your most common program types (PPL, Upper/Lower, Full Body) and duplicate them. Saves a lot of time.

Use sections for training days. Name them clearly - "Push A", "Lower B", "Full Body", so the client knows exactly which session to do.

Add alternatives for flexible clients. Clients who train at different gyms or travel often benefit from having swap options on key exercises.

Add custom exercises if needed. If the system library does not have what you need, click + New Exercise in the Exercises page to create your own.
