Manage Booking Settings by Membership Type

INTRODUCTION

Feature Summary: System users can control member/player access to court bookings.

Use Cases: Customize settings that grant platform permissions to membership types for just about every action related to court reservations. This includes online access and restricting the number of guests a player can bring to the club.

The Booking Settings section is made up of several pages. This article explains the General page.

PREREQUISITES

To configure the settings accurately, system users must understand the club's booking rules and regulations.

Key Settings

  • Show or Hide the Scheduling Tool: Control whether the court scheduling feature is visible on the member portal.

  • Enable Online Bookings: Allow members to reserve courts directly through the portal.

  • Set Advance Booking Notice: Define how far in advance members must book their reservations.

  • Allow Player Invitations: Decide whether members can invite others to join their reservations.

  • Define Cancellation Policies: Establish the club’s rules for modifying or canceling bookings.


SETUP REQUIREMENTS

The first step is to open the General page.

  1. Click SETTINGS on the side menu.

  2. Go to the BOOKING SETTINGS heading and click General.

  3. Scroll down the page and use the checkboxes to enable and disable permissions by membership type (see below).

  4. Click Save Changes.

Membership names vary by club. The included screenshots are provided as examples.


Configure General Page Settings

Courts and Resources

  • Allow Members to Book Courts Online - If enabled, users with this membership type can use the member portal to reserve a court. If disabled, users can see the scheduler but cannot book a court or resource.

  • Allow Player to be Added to Other Reservations - If enabled, a player with this membership type cannot book a court but can be added to a reservation by another player.

  • Prevent Player from being Added to Other Reservation - If enabled, the member cannot be invited to another reservation at all. This setting overrides the “Allow Player to be Added” option above.

  • Allow Member to Pick Other Members to Play With - If enabled, the user can select one or more partners from the list of users registered on the platform.

  • Maximum Allowed Court(s) per Reservation - Define the maximum number of courts that a member can reserve for a single booking.

  • Allow a member to select a court from Consolidated Scheduler - If disabled, the user can select a court type (e.g. hard or indoor) but cannot select a specific court name. If enabled, users can select a court type and court name. To enable this feature, users must also enable the Book Courts Online. (see above)

  • Enable "Auto-Assigning" of Courts - If enabled, CourtReserve auto-fills a court name when the user selects a court type. The user can override the court name if an alternative is available.

  • Hide Courts Scheduler - If enabled, CourtReserve removes the Book a Court (or Reservations) link at the top of the member portal, which means users with this membership type cannot access the scheduler. To enable the Hide feature, system users must disable the Book Courts Online feature.

  • Allow Members To Book Resources - If enabled, users with this membership type can click the Reservations menu link and reserve a resource. If disabled, users can see the scheduler, but CourtReserve removes the resources options.

  • Restrict Resource Bookings Just From Courts Scheduler - If enabled, users cannot reserve a resource (e.g., ball machine) on the scheduler. However, resources can be booked in other places on the portal (e.g. when creating an event).

  • A Member Reservation through the Portal must be Approved - If enabled, a system user must manually approve the request on the TO DO page. CourtReserve records the reservation and displays a Pending Approval tag on the reservation confirmation page. Once approved or rejected, CourtReserve sends the user a confirmation message and removes the Pending Approval tag.

Time

  • Time in Advance a Court can be Booked - Use this feature to limit how far in advance (days and hours) users can make a court reservation on the scheduler. If, for instance, advanced bookings are limited to 15 days from the current date, the scheduler does not display calendar dates 16 days (from the current date) and onward. It is possible to set different limits for each membership type.

  • Restrict Days in Advance to Booking Member Only - This feature only applies if members can pick a partner when making a court reservation. (see above) If enabled, the advanced booking time limit applies only to the membership type that is making a reservation. If disabled, the advance booking time limit applies to apply all players, including the picked player. For instance, Player A has a full membership and can book courts within 15 days. Player A tries to book a court seven days in the future and wants to add Player B, who has a guest membership type and a five-day booking window. If the Restrict Days feature is enabled, Player A can add Player B and complete the reservation. If disabled, CourtReserve displays an error message and a note that says Player B is not eligible at this moment.

  • Time to Open Next Available Reservation Day - This optional field sets the clock time when bookings each day can be made on the scheduler. Leave blank to give members 24-hour online access to the scheduler.

  • Exclude Past Reservations from Reservation Restrictions - Check this box to apply membership rule changes to future bookings only. Active reservations that were created with previous rules are not affected by the new rules. If not checked, the new rules apply to future and current reservations.

  • Days In Advance To Show Courts Availability - Decide when the court scheduler displays on the member portal. Set the number of days before a court time.

  • Booking Buffer Minutes - Stop last-minute court bookings. Set the number of minutes ahead of a court time to close down bookings.

Reservation Cancellation

  • Allow Members to Cancel Reservation - Enable this option to let members cancel their reservations according to the configured cancellation rules in the following settings. If disabled, members will not be able to cancel any of their reservations.

  • Hours before Reservation can be Canceled Without Penalty - If the system user enters a number into the field, players accumulate penalties every time they cancel after the allowed time. Penalties are tracked as a running count in their member profile.

  • Remove Ability to book after X Penalty Cancellations - When the number of penalty cancellations equals or exceeds this number, players with this membership type cannot make a court reservation. In this case, admins would need to make a reservation for the player or reset the member's penalty count.

  • Prevent Member from Cancelling a Reservation within X Hours - Enter a value (in hours) to block members from cancelling a paid reservation within the specified timeframe. When this limit is set, CourtReserve show a message if the Cancel Reservation button is hit the member portal, preventing cancellation and refunds. The reservation will still count toward the member’s weekly court or reservation limits, if applicable.

    • Example: If a member has an 8:00 AM court reservation and the cancellation window is set to 24 hours, the member will no longer be able to cancel the reservation after 8:00 AM the previous day.

  • Require Reason On Reservation Cancellation - If enabled, CourtReserve displays a required field in the cancellation popup window that asks the player to enter a reason for the cancellation.

  • Message To Show Member If Outside Cancellation - Enter a message to show players trying to cancel a reservation outside the permitted cancellation period (if enabled). For example:

Edits

  • Allow Reservation Edit - If enabled, CourtReserve displays an EDIT RESERVATION on the member portal. However, no edits are possible unless one or more edit features are enabled ( see below).

  • Allow Reservation Edit - Reservation Type - If enabled, the player can change the reservation type (e.g. singles, doubles).

  • Allow Reservation Edit - Date - If enabled, the player can change the date of the booking.

  • Allow Reservation Edit - Time - If enabled, the player can change the booking date and time.

  • Allow Reservation Edit - Court - If enabled, the player can choose a different court (if this feature is enabled).

  • Allow Reservation Edit - Players - If enabled, the member can add or remove players (if this feature is enabled).

  • Don't allow reservation edit if less than X hours till Reservation Start - If enabled, this feature creates a window that blocks reservation edits. Enter the number of hours before a booking time start to create the no-edit window.

Withdraw, Subs, and Guests

  • Allow Reservation Owner to Withdraw from Reservation without Cancelling - If enabled, the player who created the booking can remove their name and assign a new reservation owner (called a sub) without canceling the reservation and creating a new one. To add a sub, select a player name that is already on the reservation.

  • Allow Players on a Reservation to "sub" out with other players. - If enabled, any player on a reservation can replace themselves with a substitute player.

  • Allow Any Player to "Sub" Any Other Players. - If enabled, any player on a reservation can replace themselves - or another player - with a substitute player that is not already on the reservation.

  • Allowed Number of Guests - Enter the number of guests that each membership type can add to a court reservation. Also, set the frequency (e.g. per day, week, month, or year).


USER PERSPECTIVE

The screenshots below show certain member portal options configured in the Booking settings. The reservation owner can edit the reservation to withdraw from the booking, replace themselves with another player, or cancel the reservation entirely.
