Manage Court Access During Peak Hours at the Membership Level

INTRODUCTION

  • Feature Summary: Create rules to limit booking access on the member portal by membership type.

  • Use Cases: Managing court access during peak hours can be a challenge in busy clubs. System users can streamline court use by blocking or limiting a member/player's ability to book time (facilities or equipment) during a specific period and on specific days. These settings have a direct impact on player/member access to the club facilities, so care should be taken to configure the settings properly.

PREREQUISITES

Make sure you have all the required cost information for each membership type.


SETUP REQUIREMENTS

The first step is open the Booking Windows tab for a membership type. Follow these steps to edit an existing membership type or create a new one.

  1. Log in to the admin dashboard.

  2. Go to the side menu and click MEMBERSHIPS. A new page displays.

To edit booking window rules for an existing membership type:

  1. Click the Individual or Family tab.

  2. Locate a membership type and click the pencil icon.

  3. Click the Booking Windows tab.

  4. Locate a booking window and click the pencil icon.

  5. Make changes (see below) and click Save changes.

To create a new booking window for a new membership type:

  1. Click the Individual or Family tab.

  2. Click the green create membership button.

A new form displays.

  1. Fill in the fields and click Save.

  2. Click the Booking Windows tab.

  3. Click the Add Booking Window button.

  4. Fill in the form fields (see below) and click Save changes.

Open the Booking Window form. Fill in the fields and then click Save changes.

Fields

  • Booking window type - Choose Open or Closed. (see below)

  • Court Type - Choose Hard or Indoor. To create a booking window for all court options, create multiple windows.

  • Courts - Select one or all court options.

  • Day of the week - Select an option. Weekends and Weekdays are available options.

  • Start / End Time - Enter the clock time to start and end the window.

  • Notes - Add a message to display on the member portal. This text replaces the default text, "Closed Window."

System users can create an open window (members/players can book court time during this period) or a closed window (members/players cannot book court time during this period).

If a system user creates an Open booking window for a court type on a specific day, CourtReserve assumes the other court times during that day are closed. For example, a system user creates an Open booking window for hard courts between 6 pm and 9 pm for the Guest membership type. A user (Guest membership type) opens the member portal and tries to book time on a hard court at noon. CourtReserve displays an error message.

It is possible to create more than one Open booking window per day per facility.

Managing windows

To update a booking window, click the blue Edit icon. Update the information and click Save changes. To remove a booking window, click the red trash icon and click Yes in the confirmation popup.
