Setting up Notetaker to join your meetings

The Coworker Notetaker records and summarizes your meetings.

Coworker Notetaker is a bot that joins your Google Meet or Zoom meetings to capture audio, generate a transcript, and produce a summary report. It appears as an additional attendee named Coworker Notetaker in your meeting.

Prerequisites

  • Your Google Calendar must be connected to Coworker

  • For Zoom meetings, your organization must have the Zoom integration enabled (configured by your Admin)

Ways to invite Notetaker to a meeting

There are three ways to get Coworker Notetaker into your meetings:

1. Auto-join (recommended)

Set Notetaker to automatically join all internal and/or external meetings by default.

  1. Navigate to Meetings in the side menu

  2. Click Auto-join settings (the gear icon in your Upcoming Meetings feed)

  3. Toggle on auto-join for Internal meetings and/or External meetings as desired

ℹ It is recommended to keep auto-join enabled — you can still admit or deny the Notetaker on a per-meeting basis as needed. External meetings are identified as any meeting where at least one invitee has a different email domain from yours.

2. Per-meeting toggle

Enable or disable Notetaker for a specific upcoming meeting without changing your defaults.

  1. Navigate to Meetings in the side menu

  2. In your Upcoming Meetings feed, find the meeting you want to configure

  3. Use the toggle next to that meeting to turn the Notetaker on or off

Note: For recurring meetings, your selected setting will apply to all future instances of that meeting.

3. Invite to a live meeting

Already in a meeting? You can add the Notetaker to a currently active call.

  1. Navigate to Meetings (or use the shortcut from the Work page)

  2. Click Invite Notetaker

  3. Paste your meeting URL (Google Meet or Zoom link) into the field

  4. The Coworker Notetaker will join within approximately 5–10 seconds

ℹ From the Work page, you'll also see an Invite Notetaker button when you're on a live call — a single click adds the Notetaker without needing to copy and paste the meeting URL.

What to expect when Notetaker joins

  • Notetaker will attempt to join 5 minutes before the scheduled start time (in case the meeting starts early)

  • It will remain for up to 5 minutes after the call ends

  • If it is not admitted within 5 minutes of the meeting start, it will time out and leave

  • For Google Meet and Zoom, the Notetaker will appear as an attendee and must be admitted from the waiting room

Admitting or removing Notetaker

When Coworker Notetaker joins a Google Meet or Zoom meeting, it will appear in the waiting room and must be admitted by a meeting participant. If you want to remove it after it has joined, simply remove it as an attendee from within the meeting interface (Google Meet or Zoom).

After the meeting

  • Transcript: Available in Coworker approximately 30 seconds after the call ends

  • Summary report: Available approximately 1–2 minutes after the call ends, including discussion topics and action items
