Configuring network-level Notetaker settings

Set the default auto-join and sharing preferences for your network's Notetaker.

As a Network Admin, you can configure default Notetaker behavior across your entire organization. These network-level settings control how the Coworker Notetaker joins meetings, who receives meeting summaries, and whether video recording is enabled — so you can establish consistent defaults without requiring every user to configure things individually.

Accessing network-level Notetaker settings

  1. Open Coworker and go to Settings (gear icon, bottom-left).

  2. Select Meeting Notetaker (or Network Settings, depending on your version) from the settings menu.


Auto-join settings

These settings control whether the Notetaker automatically joins calendar meetings on behalf of your network's users.

  • Join internal meetings | ON by default: When enabled, the Notetaker will automatically join meetings where all attendees are from your organization's email domain.

  • Join external meetings | ON by default: When enabled, the Notetaker will automatically join meetings that include attendees from outside your organization.

  • Join without an internal participant | OFF by default: When enabled, the Notetaker will still join meetings if no authorizing Coworker user is marked as attending the meeting.

Users can override these defaults for individual meetings via their own Notetaker settings, unless the organizer override (see below) takes precedence.


Meeting organizer override

When this setting is on (the default), if the meeting organizer explicitly removes or disables the Notetaker for a specific meeting, the Notetaker will not join that meeting — regardless of other participants' individual settings.

This ensures meeting organizers have final control over whether their meetings are recorded.


Summary recipients

Control who receives the post-meeting AI summary after a Notetaker-recorded meeting. Options include:

  • People who have the Notetaker enabled for the meeting — only participants who did not explicitly remove the Notetaker from their meeting.

  • People who have Coworker access — all attendees who are active Coworker users on the network, regardless of their individual Notetaker setting.

  • All internal network members — all attendees who are part of the network (including passive/non-member users).

  • Everyone, including external attendees — all meeting participants, including people outside your organization.

Choose the option that best fits your organization's privacy and collaboration preferences.


Video recording

When video recording is enabled at the network level, the Notetaker will record a video of the meeting in addition to the audio transcript. This setting can be turned on or off network-wide.

Note: Always ensure you are compliant with your organization's recording policies and any applicable consent laws before enabling video recording.


How users interact with these settings

  • Individual users can enable or disable the Notetaker for specific meetings from their calendar sidebar in Coworker.

  • If a user removes the Notetaker from a live meeting, this may disable auto-join for future instances of that meeting — they will need to re-enable auto-join in their personal Notetaker settings.

  • Network-level defaults apply unless a user has individually customized their settings, or unless the organizer override applies.
