Coworker Recorder joins your call as an attendee, so it has to be let in and, on Zoom, allowed to record. When a meeting has no transcript, these are the most common reasons.
1. Recorder was left in the waiting room
Recorder asks to join a few minutes before the meeting starts and waits in the waiting room until someone admits it. If nobody lets it in, it eventually leaves and nothing is recorded.
Fix: When Coworker Recorder asks to join, admit it. If you are not the host, ask the host to admit it. If you missed it, you can still add it to the live meeting from Meetings > Invite Recorder (see Adding Coworker Recorder to an in-progress virtual meeting). It only records from the moment it joins.
2. The Zoom host has recording to computer turned off
On Zoom, Recorder needs the host's permission to record, and Zoom only offers that when the host's account allows recording to computer. If that setting is off, the host never sees the request and Recorder cannot record. This is common on external calls hosted on another company's Zoom.
Fix: The host turns on Record to computer files in the Zoom web portal (Settings > Recording tab > General). If the toggle is greyed out, their Zoom admin has locked it and needs to change it. If it's another company's meeting and they can't change it, use the Notetaker instead (see below).
3. The host declined the recording request, or didn't answer it
When Recorder joins a Zoom call, the host sees a popup asking to allow it to record, so the host needs to be in the meeting. If the host clicks deny, or doesn't respond within about 60 seconds, Recorder can't record.
Fix: Let the host know to expect the popup and click Allow. If the host has blocked recording requests for the meeting, Recorder can't ask again, so use the Notetaker instead.
4. The meeting link is out of date
Recorder joins using the link on your calendar event. If that link points to a Zoom meeting that was deleted or replaced, there is no meeting to join. This often happens with duplicate calendar events, or when a meeting was recreated with a new link.
Fix: Make sure the calendar event has the current Google Meet or Zoom link, and delete old duplicate events.
5. The event has no video meeting link
Recorder joins using the video meeting link on the calendar event. Phone calls, in-person meetings and events with only a dial-in number have nothing for it to join.
Fix: Add a video meeting link to the event, or use the Notetaker.
When a bot can't join: use the Notetaker
The Notetaker runs in the Coworker desktop app and captures the transcript and summary report from your computer, with no bot in the meeting and nothing for anyone to admit. It doesn't record video or audio. It's the best option for another company's meetings, for hosts who don't allow bots, and for Slack Huddles or in-person conversations. See Recorder vs Notetaker and Using Notetaker for desktop.
The meeting was recorded but doesn't show up
Reload the Meetings page, or quit and reopen the desktop app. An open Meetings page doesn't always pick up new meetings on its own.
Quick checklist before an important call
The calendar event has a current video meeting link
You or the host will admit Coworker Recorder when it asks
On Zoom, the host is in the meeting and knows to click Allow on the recording popup
For a meeting you don't control, turn on the Notetaker in the desktop app as a backup
