Q: What is the file manager?

The Diligentsia File Manager allows you to view and manage the files contained within a specific section of the Data Repository or an Expansion Pack module.

You can access the File Manager:

  • By clicking the “File Manager” button within a section, or

  • By clicking directly on files in the Repository Index.

Within the File Manager, you can:

  • Open files

  • Copy files

  • Move files

  • Edit file details

  • Delete files

See the origin/source of files (e.g., synced or pre-populated from Companies House)

Q: What does Diligentsia's File Manager enable me to do?

The File Manager allows you to:

  • Copy files between sections

  • Move files to different folders

  • Edit file information

  • Delete files

  • Open and download files

  • View file origin/source

  • Access the Deduper feature

  • Review file history via the Audit Log

File origins are visible where applicable, including files:

  • Synced from a connected Data Room

  • Automatically pre-populated (e.g., from Companies House)

Q: Is there an audit log to changes in the file manager?

Yes. All file-related actions are recorded in the Audit Log, including:

  • The user who made the change

  • The action performed

  • The date and time of the change

Q: Can I tell within File Manager where the files in the Data Repository originated?

Yes. Files may be colour-coded to indicate their source, such as:

  • Pre-populated files (e.g., from Companies House)

  • Synced files

Refer to the legend within the File Manager for clarification.

Q: What is the Diligentsia Folder Structure?

The Diligentsia Folder Structure forms the core organisational framework of the platform.

It consists of structured sections such as:

  • Key Investor Documents

  • Legal

  • Insurance

  • Financial

  • And other corporate categories

Plan differences:

  • Lite: 20 core sections

  • Pro: 20 sections plus approximately 140+ subfolders (including deeper sub-levels)

The full structure can be viewed within your Data Repository.

A consistent folder structure across companies helps standardise presentation and save time for advisors and investors.

Q: Can I sync files to other modules?

You can sync files to connected modules where applicable, such as:

  • Data Room (via Connect Data Room)

  • Other supported modules

Availability depends on module activation and permissions.

Q: Can I bulk-upload files?

Yes. The File Manager supports bulk uploads to allow multiple files to be added efficiently.

Q: What types of files can I upload?

Common document formats are supported, including:

  • PDF

  • Word documents

  • Excel spreadsheets

  • PowerPoint presentations

Q: Can I export files?

Yes. Files can be downloaded/exported for offline use or sharing, subject to user permissions.

Q: Can I assign permissions for file access?

Yes. Access to files and folders is controlled through User Management and Permissions in Company Settings.

Q: How do I know if a file has been edited?

All file edits and actions are recorded in the Audit Log, including:

  • Who made the change

  • When it was made

Troubleshooting – File Manager

Q: I can’t find the File Manager. What should I do?

Ensure:

  • You are logged in

  • You are inside a Data Repository or Expansion Pack section

  • You have the required permissions

The File Manager is accessed via the “File Manager” button within a section or by clicking files in the Index.

Q: The File Manager isn’t loading.

Try:

  • Refreshing your browser

  • Checking your internet connection

  • Clearing your browser cache

  • Using a different browser

If the issue persists, contact support.

Q: Some files are not appearing.

Check:

  • That the files were uploaded successfully

  • That they were uploaded into the correct folder

  • That your permissions allow visibility

  • The Audit Log for upload history

Q: A file upload failed.

Ensure:

  • The file format is supported

  • The file does not exceed size limits

  • Your internet connection is stable

Retry the upload or contact support.

Q: I can’t move or copy files.

You may not have sufficient permissions.

Check with your administrator.

Q: Can I recover deleted files?

Yes. Deleted files are moved to the Trash section within the File Manager and can be restored if needed.

Q: Why are files colour-coded?

Colour coding indicates file origin (e.g., pre-populated or synced).

Refer to the legend in the File Manager.

Q: The folder structure is not displaying correctly.

Ensure:

  • Your subscription supports the full structure (Pro includes additional subfolders)

  • The page is refreshed

Q: The Audit Log isn’t showing recent changes.

Refresh the view and confirm your permissions allow full access.

Q: I can’t sync files to another module.

Ensure:

  • The module is active

  • You have the necessary permissions

  • The connection (e.g., Data Room) is active

Q: Bulk upload partially failed.

Check the upload summary and re-upload failed files individually if necessary.

Q: Can I revert file changes?

There is no rollback feature. You may re-upload a previous version if needed.

All changes remain visible in the Audit Log.

Q: I can’t export certain files.

You may lack permission to download/export those files.

Q: The “Upload” button is greyed out.

Ensure:

  • You are in the correct folder

  • You have upload permissions

  • Your subscription supports uploads

Q: Files uploaded to the wrong folder.

You can manually move them to the correct location using the File Manager.
