FAQs - Prepopulated Files

Q: What does “prepopulated” mean on the Diligentsia platform?

“Prepopulated” means that Diligentsia automatically pulls publicly available information from trusted third-party sources and inserts it into relevant modules on the platform for your review.

This is designed to save you time and reduce manual data entry.

Prepopulation may occur in modules such as:

  • Data Repository

  • Directors’ Questionnaire

  • Company Settings

  • User Profile

For example, we may pull information from UK Companies House and automatically populate relevant sections for you to review and confirm.

All prepopulated items:

  • Are clearly identifiable in the File Manager

  • Can be reviewed and edited by you

  • Are logged in the Audit Log

Q: How can I tell that a file has been pre-populated?

Prepopulated files are shown in different colours in the File Manager.

A legend is available in the File Manager so you can identify the source of each file.

For example:

  • Files pulled from Companies House are shown in a specific colour (e.g. grey).

This allows you to clearly distinguish between:

  • Files you uploaded manually

  • Files synced from a Data Room

  • Files prepopulated from third-party sources

Q: Can I review, move, copy, or delete prepopulated files?

Yes. Prepopulated files behave like any other file in your Data Repository. You can:

  • Review them

  • Edit them

  • Move them

  • Copy them

  • Delete them

These actions are available via: Data Repository → File Manager

All actions are recorded in the Audit Log.

Q: Where does Diligentsia prepopulate data from?

Diligentsia may prepopulate information from trusted public sources.

Currently, these include:

  • UK Companies House

  • LinkedIn (publicly available information only)

We only use publicly available information. We do not access private or restricted content.

Q: I don't want my Data Repository prepopulated. What can I do?

If you prefer not to use prepopulation features, please contact:

Q: Are there prepopulated files and other information in my Directors Questionnaire?

Yes. Some information in the Directors’ Questionnaire may be automatically populated, for example:

  • Director’s name

  • Director’s address

  • Date of birth

  • Director/Secretary/Person With Significant Control (from Companies House)

All prepopulated information can be edited or updated by you.

Q: Can I manually update prepopulated files?

Yes. You can manually edit or update any prepopulated file or field in the relevant module. You remain fully in control of your data.

Q: How often is prepopulated data updated?

Updates depend on when new or updated information becomes available from the external source (e.g. Companies House).

Prepopulation is not continuously refreshed in real time; it reflects available data at the time it is retrieved.

Q: Can I sync prepopulated files to the Data Room?

Yes. Prepopulated files can be synced to your connected Data Room in the same way as other files in the Data Repository.

Q: Can prepopulated files be exported?

Yes. Prepopulated files can be downloaded or exported just like any other file in the File Manager.

Q: Are prepopulated files visible to all team members?

Visibility depends on your user permissions settings. Only users with access to the relevant section or module will be able to view the files.

Q: How secure is prepopulated data?

All data on the Diligentsia platform, including prepopulated data:

  • Is encrypted

  • Is subject to strict data protection controls

  • Is handled in accordance with our data security policies

We only use trusted and publicly available sources.

Q: Can I disable prepopulation for specific modules?

Currently, prepopulation operates at platform level and cannot be disabled for individual modules.

Troubleshooting — Prepopulated Files

Q: Why are some files not prepopulated in my Data Repository or Directors’ Questionnaire?

Ensure your company information is up to date with Companies House.

If expected files are missing, contact support for assistance.

Q: Can I disable prepopulation for specific files?

No. Prepopulation cannot currently be disabled at file level.

Q: How do I identify the source of a prepopulated file?

Check the colour coding in the File Manager and refer to the legend provided.

Q: Can I delete prepopulated files?

Yes. You can delete prepopulated files via the File Manager.

Please note: deleted files cannot be recovered.

Q: What should I do if prepopulated data is incorrect?

You can:

  • Edit the data directly in the relevant module

  • Replace or update the file manually

If the issue relates to incorrect source data (e.g. Companies House), you may need to update it at source.

Q: Why are some Companies House files not prepopulated?

This may occur if:

  • The information is not available

  • The company record is incomplete

  • The data has not yet been retrieved

Verify the company details and contact support if necessary.

Q: Why is my LinkedIn information not prepopulated?

Ensure your LinkedIn link is correctly entered in your User Profile. Only publicly available information can be used.

Q: What happens if I accidentally delete a prepopulated file?

Deleted files cannot be recovered through the platform. If necessary, you may need to manually re-import the information or contact support.
