How to Create a Group on Dokeos LMS?

This tutorial will guide you through the complete process of creating a Group on Dokeos LMS, assigning Courses, and configuring essential settings.

By the end of this guide, you will be able to efficiently create Groups to organize your Users and manage their Training effectively. Follow these simple steps to fully utilize the Group management features in Dokeos LMS.

Step 1: Log in to Your Dokeos LMS Account

Log in to your Dokeos LMS account as an Admin.

Step 2: Create a New Group

Once logged in, navigate to the left-side menu and click on "Users", then select "Groups".

On the Groups page, click on the "+" button to start creating your first Group in Dokeos LMS.

Step 3: Enter Group Information

On the details page, you will need to provide:

  1. The Group Name.

  2. Whether to allow the Group Leader to add existing Users to the Group.

  3. One or more Group Leaders.

  4. Users to be added as Group Members.

Once completed, click "Submit".

Information:

A Group Leader cannot invite new Users to their Group unless they were initially invited to the Portal by an Admin. This permission can be granted by the Admin through the Portal settings.

When creating a Group, the Admin is not required to add a Group Leader or Members immediately; this can be done later. The Group will still be created on the Portal.

Step 4: Assign Courses to the Group

At this stage, you can assign Courses to the Group and define access dates. To do this, click "Add Courses" and select the relevant Courses from the list.

Step 5: Configure Courses within the Group

On this page, you can:

  1. Remove a Course from the Group.

  2. Configure the Course access dates.

Clicking on the gear icon will open a new window with available configurations for the selected Course:

  1. Access types: Open access, access with a start date, access with a start and end date, or access for a specific number of days after enrollment.

  2. Timing for sending the enrollment email to Group Members.

  3. Automatic enrollment option: Automatically enroll all Group Members in the Course. If this option is not enabled, the Group Leader will have to manually enroll Group Members in the selected Courses.

Information:

The automatic enrollment option can be enabled or disabled at any time after the Group has been created.

By clicking "Confirm", you will have successfully created and configured your first Group on Dokeos LMS.
