How do availabilities work?
Each event requires an assigned availability. When a customer books a time slot for one event, that slot becomes unavailable for all other events sharing the same availability—preventing double bookings automatically.
Example: Joe runs a classes, all assigned to his availability (9:00–12:00). If someone books him for Event A at 10:00–11:00, Events B and C won't show 10:00 as available.
Let's say Joe can run 3 classes - all events are assigned to Joe's availability. So if a customer books Joe for 10:00-11:00 for Event A, then Event B & C would be unavailable at 10am. We automatically determine when you are available to avoid double / incorrect bookings across events.
Regular Hours
1. Go to Availabilities tab → Set Schedule
2. Under Weekly Schedule** add your hours. You can copy times to multiple days. Click Save Changes
To set specific time slots (e.g., 10:00–10:45, 10:45–11:30), add each as an individual time.
Setting Break Times
Use multiple intervals to block breaks.
Example: Available 9:00 – 17:00 with a lunch break 12:00–13:00:
- Interval 1: 9:00 – 12:00
- Interval 2: 13:00 – 17:00
How time slots are generated
The app combines your availability window with the service duration to build the bookable slots.
For example: your availability runs 9:00 to 12:00 and the service lasts 60 minutes, so slots appear at 9:00, 10:00 and 11:00.
To offer fixed slots that are not evenly spaced, for example 10:00 to 10:45 and 10:45 to 11:30, add each start time as its own interval in the weekly schedule instead of one continuous window.
When a customer books a slot it is removed from the calendar for every other service sharing that availability, so you do not have to update several calendars.
Adding or Blocking Specific Dates (Date overrides)
1. Go to Availabilities tab → Set Schedule
2. Scroll to the Date overrides section (this was previously called "Specific Day(s) Schedule").
3. Click Select a date or date range.
4. Leave Start and End Time blank to block the entire day. Add Start & End Time to be available on that day.
5. Click Apply Schedule → Save Changes.
To edit or delete, find the entry under Date overrides.
To protect part of a day, add an override for that date and enter two time intervals with a gap between them. For example, to keep 2:00pm to 3:00pm free on a Tuesday, enter 9:00 to 14:00 and 15:00 to 17:00. Customers can book either side of the gap but not inside it.
Blocking a date does not cancel bookings you already have. It only stops new ones being made in that window. If you are closing a day that already has bookings, cancel or move them from the Bookings tab first, so customers get a notice.
Tip: You can also block time via Google Calendar integration!
Blackout Dates
A blackout date closes your entire store for a day or a range of days. Nothing can be booked on those dates: not a single service, not a single team member, not a single location. Use it for public holidays, a shop-wide vacation, a seasonal closure, or any day you simply do not want to take bookings.
This is the fastest way to close everything at once. To close only one service or one person’s calendar, use Adding or Blocking Specific Dates instead.
Where to find blackout dates
1. Go to the Availabilities page in the app.
2. Click the Blackout Dates tab.
You will see every range you have blocked, split into an Upcoming and a Past view.
Adding a blackout date
1. On the Blackout Dates tab, click Add blackout date.
2. Pick a single day, or click a start date and then an end date to close a whole range.
3. Optionally add a Reason, like “Summer closure” or “Thanksgiving”.
4. Check the summary at the bottom of the window. It shows the exact dates and how many days will be closed.
5. Click Block dates.
The dates take effect right away. Customers browsing your booking calendar no longer see any times on those days.
Tip: The reason is only visible to you and your staff. Customers never see it, so write whatever helps you recognise the closure later.
You can block dates up to 24 months ahead. Past dates cannot be selected, because there is nothing left to block.
What a blackout date blocks
A blackout overrides everything else in the app. On a blacked-out date:
Every service and event stops showing times, no matter how its availability is set up.
Every team member is unavailable, including staff with their own schedules.
Every location is closed.
Point of Sale shows no available dates or times.
Waitlist sign-ups return no times for that date.
Customers cannot reschedule an existing booking onto that date.
An availability rule, a capacity rule, or a specific-date schedule cannot work around a blackout. It always wins.
Tip: Blackout dates apply to the calendar date as your customer sees it. If you serve customers in several timezones, a blackout on December 25 means “December 25” for each of them, not a fixed block of hours.
Viewing upcoming and past closures
The Upcoming view shows every closure that has not finished yet, soonest first. Each row carries a status:
Blocking now — the closure is running today.
In 137 days — the closure has not started yet, and this is the countdown to its first day.
Ended — the closure is over. These move to the Past view automatically.
Each row also shows the reason you entered and how many days the closure covers, for example “Christmas Holidays · 7 days”.
Removing a blackout date
Click the trash icon on the right of any row. The dates open back up immediately and your normal availability resumes.
There is no confirmation step, but a message appears at the bottom of the screen with an Undo button for a few seconds. Clicking Undo puts the same dates and reason back.
What happens to bookings you already have?
Adding a blackout date does not cancel bookings that are already on the calendar. It only stops new ones from being made.
Warning: Check the Bookings page for appointments on the dates you are about to close. Blocking the dates does not notify anyone. If you need those bookings cancelled or moved, do it yourself before you add the blackout, so customers get a cancellation or reschedule notice.
Blackout dates or a date override?
Both close time off, but they work at different levels:
Blackout dates close the whole store. One entry, everything off. Best for holidays and vacations.
Specific date schedules inside an availability close or change hours only for the services using that availability. Best for one staff member’s day off, or shortening a single afternoon.
If you find yourself adding the same date override to every availability you have, use a blackout date instead.
Archiving an Availability
To hide an availability without deleting it:
1. Go to Availabilities tab → Set Schedule.
2. In the sidebar on the right, find the Status card.
3. Change the dropdown from Active to Archived.
4. Click Save Changes.
The page title also shows an "Archived" badge so it's clear at a glance which availabilities are hidden.
Archived availabilities won't appear when creating events but remain stored for reference.
Adding more availabilities
You can add more availabilities, which are schedules that support your events. These can be teammates, rooms, or locations as an example.
Head to Availabilities > Create New Availability to set up.
Assigning availabilities to an event
Head to Edit Event > Availability > Assign Availability. Choose the availability to assign.
Now if your event can take 1 attendee per timeslot and those availabilities overlap in time then you would be able to take 2 attendees per timeslot. However if the availabilities are at completely different times, then you would be able to accommodate them at 1 per timeslot. Preview your calendar on the right hand side.
Note: if you want customers to be able to choose the availability head to Customer Booking Options to set that up as shown below.

FAQ
Is there a global availability setting?
No, each availability must be configured individually.
How do you handle locations and staff availabilities?
We advise you to choose the availability with the limiting factor. So if a room is used by two teammates, make the availability the room.
We don't handle assignments other than the booking to the main availability. There is no relationship between availabilities
Each availability has its own Google Calendar or Zoom link, how does that work?
There can only be on Google Calendar or Zoom link per account. For Google Calendar, have them share their calendar to your primary calendar. For Zoom, enter their zoom link Set Schedule > Contact Link. More details here
How do I archive availability?
Availabilities > Set Schedule > in the right-hand sidebar, find the Status card.
Change the dropdown from Active to Archived and Save. The availability moves to your archived list and stops appearing when creating events.
How do I duplicate availability?

Click on Availabilities > Set Schedule > scroll past specific dates, and you'll be able to set yourself as busy 25, 40 or 50% of the time (removes random slots) to show increased demand!
