Summary
In a hub-and-spoke setup, each day's production is built from two sides. Spokes plan the quantities they need and send them to the hub; the hub plans its own quantities and combines everything into the total it will make.
This article covers both sides of that daily plan - look for the Spoke Planning and Hub Planning sections as you go.
Everyone works from the Production page, on the Daily production view. Check the site shown top-left - its badge reads SPOKE or HUB, use Switch site if you need to change it.
Choose the day from the day cards along the top, or use Pick date. This article assumes the sites are already linked; see Setting up Hub & Spoke for that.
Cutoff Times
Every production date has a cutoff - the time a spoke's plan locks for that day. It's set per hub in production settings (see Setting up Hub & Spoke).
Before the cutoff a spoke can edit and re-save as often as it likes; saving is all it takes to send the plan to the hub. When the cutoff passes the plan locks, and any change from then on needs the hub's approval - that's covered in Requesting changes after the cutoff.
Spoke Planning - requesting what you need
Spokes don't make their own products; they request them from the hub by planning production for each day.
On the Production page, check the site top-left and choose the day from the day cards (or Pick date).
On the Planner tab, set how many of each recipe you need. Type a number or use the – and + steppers. Use Filter by category or product to find a recipe, and View forecast to base quantities on historic sales.
Select Save plan. A Production plan saved confirmation appears and the status pill next to the date changes to Saved.
A banner above the table tells you when the plan locks. You can make edits and re-save as many times as you like until then.
💡 The Carry-over column brings quantities forward from a previous production or day, so you only request what you still need.
If the hub can't supply exactly what you asked for, it may substitute another recipe for part or all of a line. The swap and the hub's reason appear on that recipe in your plan, so you can see what was replaced and why.
Basing quantities on the forecast
Select View forecast to open the sales forecast for that weekday. It shows the average shop sales and production quantity across recent weeks, a per-recipe or per-time-of-day breakdown, and a suggested Forecast quantity for each recipe.
Select Apply forecast to drop those numbers into the plan - a Forecast applied - review and save to confirm message reminds you to check them and Save plan.
If your spoke also makes some productions itself
A spoke can make some of its productions itself while still requesting the rest from its hub. Which runs are made where is set in the site's production settings - see Setting up Hub & Spoke.
On the Planner, each production column is marked with an icon showing where it's made:
Icon | Explainer |
Home | Made at this site. You plan and make it yourself. |
Hub | Made by the hub. You request it, and it locks at the cutoff like any other spoke request. |
Plan the hub-made runs exactly as above. For the runs you make yourself, plan as a standalone site does - see Daily Production Planning. The quantities you plan for your own runs stay with you; only the hub-made runs are sent to the hub.
Hub Planning - planning your own and reviewing requests
A hub site's Production page has four tabs:
Tab | Explainer |
Planner | The combined total the hub will make - its own quantities plus every spoke's requests. Read-only. |
Hub planner | The hub's own quantities, for what it sells or uses itself. Editable. |
Spoke requests | What each spoke has requested, its lock status, and where late changes are handled. |
Dispatch | Sending finished products out to the spokes (see Dispatch & receiving). |
Planning the hub's own quantities
Select the Hub planner tab to set what the hub makes for itself. The line under the date reads Hub plan (own quantities).
Set each recipe with the – and + steppers or by typing a number, using View forecast to base quantities on historic sales if you want. Select Save plan - a Production plan saved confirmation appears.
Reviewing spoke requests
Select the Spoke requests tab to see what your spokes need. At the top, What this hub will make lists each recipe with a column per site - the hub and each spoke - and a Total, the combined quantity you'll produce.
💡 New spoke plans and late changes also show in your notifications (the bell, top right), so you can spot them without opening each day.
Below it, each spoke has its own card showing what it requested, when it last saved, and its status:
Status | Explainer |
Open | The spoke can still edit - the cutoff hasn't passed. |
Locked | The cutoff has passed and the request is fixed. The card notes when it locked. |
Late plan · awaiting decision | The spoke planned after the cutoff and needs your approval (see Requesting changes after the cutoff). |
A spoke that hasn't planned yet shows a No plan pill and a Waiting for plan placeholder - its items appear here as soon as it saves a plan that routes to your hub.
Substituting a requested product
If you can't supply exactly what a spoke requested, you can swap part or all of that line for another recipe from the spoke's range.
In the Spoke Requests tab find the card for the Spoke site you will be adjusting
Click the number requested
This open the Substitute panel
Under Replace with, choose the recipe to supply instead.
Enter the Quantity to replace.
Enter a Reason (for example, Not enough tomatoes for tomorrow's run).
Select Apply substitution.
A Substitution applied confirmation appears and the swap is recorded on the spoke's plan. The Spoke is notified of the change.
To reverse it, select undo on that line; a Substitution reverted confirmation appears.
You can only substitute products once the cutoff time for the day has passed.
Seeing the combined total
The Planner tab shows the day's Aggregate totals (read-only) - the hub's own plan and all accepted spoke requests combined into the quantity you'll actually produce.
