Setting up your school account

Enter your school's information and make the necessary settings to facilitate the work of the school's main administrator.

"School" tab

You can start configuring your school by navigating to the Settings tab and selecting School.


Main

  1. Avatar: Upload a school avatar image. Only administrators will be able to see the school avatar.

  2. School Name: Specify the name of your school. Your students will see it in the browser tab after logging into their accounts.

  3. Email: Fill in your school's email address. The platform will send notifications to this email.

  4. Password: Set a password and do not share it with third parties.

  5. Country: Select the country where your school is located. The country selection affects the subscription payment currency.

  6. Timezone: Set the timezone of your location.

  7. Interface Language: Currently, you can choose one of the following languages: Russian, English, Ukrainian, Polish, and Spanish.

  8. Languages: Select all the languages that teachers will teach at your school. When adding a new teacher, language options will be limited by this setting.

  9. Send Registration Emails: When user accounts are created, login credentials will be sent to their email addresses on behalf of the school. You can disable this setting if you prefer to provide login details through other means. User login and password will be visible in the student's or teacher's profile upon registration.

Contacts

Please provide the contact information for your school.

  1. Phone number: Teachers and school staff can contact you by phone in case of unforeseen situations.

  2. Email: If you prefer to receive messages from students and teachers to a separate email, please provide it in this field.

  3. Вконтакте: Fill in this field with the link to your school's VKontakte (vk.com) social media page, if you have one.

  4. Facebook: Specify your Facebook account.

  5. Instagram: Enter the information for your Instagram account in this field.

  6. Youtube: Add the link to your school's YouTube channel in this field.

    If a student has no lessons on their balance or their account is deactivated, when they try to access a virtual classroom, they will see the school's email and phone number in the Contacts tab.

Administrators

You can add multiple administrators (employee) to your school, distribute responsibilities among them, and thus alleviate the workload on yourself.

Here, you can add a new employee and view a list of previously added administrators and their access details.

To add a new administrator, click on the "Add a new employee" button, enter their email address, specify which sections of the administrative dashboard they will have access to, and click "Create an employee."

Only the main administrator has access to the "Settings" section.

Once the account is created, a personalized login and password will be generated. You need to copy and send these credentials to the administrator.

Payment Acceptance

Activate the payment acceptance feature through the platform.

Choose and set up a payment system that is convenient for you to accept payments from students.

If you have separate links for terms of service and personal data processing policy, you can fill in the corresponding fields. These links will be accessible to students when they make payments for lesson packages.

Access control

The division of access groups is necessary to separate the databases of users (students and teachers), employees, and online courses by branches. This way, each branch employee will only be able to work with users from their own branch. Only the main administrator or the employee to whom all access groups have been assigned will have full access to the entire user database.

For example, if your school has multiple branches located in different countries or cities, you can assign the "London" tag to an employee. This employee will be able to add and view students, teachers, and online courses only with this tag, and others will not be visible.

When adding a student, they are assigned an access group. This is done to ensure that when selecting a teacher, only those teachers who correspond to the student's selected tag are displayed. The same applies to online courses, where students can be assigned an access group during their addition to determine their branch.

Users without an access group will only be visible to the main administrator. Therefore, it is advisable for school employees not to remove the access group from users, as doing so would make the user disappear from their view.

To configure access groups, you need to activate the toggle switch. But before doing so, we recommend preparing the access groups and assigning existing users to the appropriate groups, if any.

After enabling access groups, an icon of a "key" will appear next to users, and hovering over it will display the access groups to which the user belongs.

This way, you can fully distribute the user database among separate branches.

Students

In this tab, you can create a promotional banner and customize its display.

Let's move on to configuring online lessons in your school.

Main

Work Schedule

If you have fixed working hours, you can set the school's operating hours. In this case, your teachers will not be able to schedule lessons during the non-working hours of the school.

The working hours are marked with checkmarks, and removing the checkmark will mark them as non-working hours.

Types of classes.

You can categorize your student base by different types of classes using tags for easier management within the system. For example, you can categorize them by age groups or learning objectives. However, do not confuse types of classes with access groups!

Duration of lessons

Specify the duration of lessons in your online school. After this setting, teachers and administrators will not be able to set a different lesson duration in the schedule.

Email notifications about upcoming lessons

Choose a convenient time interval, and students will receive email reminders before the start of their lessons. Options include 5 minutes, 1 hour, and 3 hours before the lesson starts.

Video Conferencing in Individual Classes.

Activate the toggle if you plan to use the internal video conferencing service within the school.

Video Conferencing in Group Classes.

Similarly, if the toggle is activated, you can use the platform's video conferencing feature in group classes. Deactivate it if external video conferencing services such as Zoom are used in the school.

Teacher

Here you grant permissions to your teachers for editing the working schedule, managing lessons with students, and accessing the school's catalog.

Students

Set up the settings for requesting NPS (Net Promoter Score) from your students, as well as the automatic activation and deactivation of school students.

  • NPS Inquiry: You can activate the NPS inquiry feature to gather feedback from your students.

  • Automatic Deactivation of Students: The platform will automatically deactivate students after a set number of days since their last lesson. Deactivated students will not be counted towards your tariff.

  • Automatic Activation of Students: Once you schedule a lesson for a student in the timetable, the platform will automatically activate them. This allows them to access the virtual classroom and be counted towards your tariff.

  • Automatic Deactivation of Students with Empty Balance: This setting encourages students to purchase a new lesson package since deactivated students cannot access the virtual classroom.

  • Export Students with Statuses (Live Classes): By clicking the button, a file containing student data and their statuses (activated and deactivated) will be automatically

    downloaded in Excel format.

Balance system

The balance system is a feature on the platform that helps track the number of lessons available for each student. It allows for efficient management of lesson packages and ensures accurate billing.

Reports

The platform provides the ability to generate reports that contain information about student balances, attendance, and completed lessons.

Student Balances

This informative report includes the following information:

  • Student's full name

  • Student's email and phone number

  • Student's status (activated or deactivated)

  • Number of lessons purchased by the student

  • Remaining lessons as of the report date

  • Current package

  • Teacher's full name

  • Date when the student was added to the school

  • Date of the last lesson package addition to the balance

  • Date of the last completed lesson

  • Lesson intensity (("Total lessons in the package" - "Remaining lessons")) / ((("Current date" - "Package creation date").Days / 7Days))

  • Lesson frequency (number of times per week)

Completed Lessons

This report provides the following information:

  • Teacher's full name

  • Lesson date

  • Lesson type (group or individual)

  • Students (names of students who attended the lesson)

  • Lesson status (completed or student absence)

  • Package type (name of the lesson package added to the student or group)

Completed Lessons v2.0

This is an enhanced version of the previous report, which includes data on attendance, duration of lessons, and more.

Based on the data in this report, you can create pivot tables with the required information.

"White Label" Tab

This section contains settings for branding the platform.

White label is a solution that allows your school to use our platform under your own brand.

The platform will appear as if it is your own school's development. To configure the White label, you need to pay for this service according to your school's tariff.
