Everything you need to know about the overtime balance or hour balance in Eitje

By keeping track of the worked hours in Eitje, you can easily see if someone is working more or less hours than indicated on the contract. The overtime balance can be bit daunting. Below we explain what it does and how you can use it in Eitje.


What is the overtime balance?

The overtime balance indicates how many hours someone has worked compared to their contract. If someone has a balance of +10:00, this means they worked 10 hours more than stated on their contract. Since employees with a fixed contract usually don't get paid more when they work more, nor less when they work less, you need a way to process this. That is what the overtime balance is for: it's a way to see who works less/more than stated on the contract, so that it can be corrected. A way to correct can be to schedule this employee for more or less hours to even out the balance.

The overtime balance in Eitje

You can find the overtime balance by clicking on 'Hours' > Hours balance. You'll first have to activate the overtime balance. This can be done immediately when you start using Eitje, but of course also at a later time. To start, you use the button 'Manage start balance', where you can enter a start date and start balance for your employees.

You now see an overview page with the balances of your team members. By default you see the current day. At the bottom you can select a period for which you want to see the balance.

⚠️ Note: You only see team members with a fixed hour contract in the overtime balance. Team members with a flex contract are not listed here.

Eitje has its own way to use the overtime balance. This is because of the way we look at your working week: we divide the number of hours by seven and assume that you work that number every day. Even if in reality this might not be the case.

An example:

Imagine that you have a contract for 7 hours a week, but you only work on Wednesdays. In Eitje, we assume that you have to work 1 hour a day, so if we see that you didn't work on Monday, we will set the balance to -1. If we see that you also didn't work on Tuesday, we will set your balance to -2. On Wednesday you work 7 hours, but we expected that you would only work 1 hour, so the balance goes up by +6, and then becomes +4. You will then see that on Sunday the balance is 0.


Corrections

Sometimes you pay someone extra or an administrative error has been made and you have to adjust the overtime balance accordingly, so your numbers add up. This can be done with a correction by adjusting the balance on a certain date. You can add a correction of +10:00, so the balance will increase by 10 and the same applies for -10:00, then it will decrease by 10. Read here how to apply a correction.
