Adding the App
Prerequisites
- Active Elephan account (Trial or paid plan)
- Zoom account with cloud recording enabled (Pro, Business, or Enterprise plan)
- Admin or Owner permissions on your Zoom account
Setup
1. Log in at app.elephan.ai
2. Go to Settings → Integrations → Communication
3. Click "+ Connect" on the Zoom card
4. On the Zoom authorization page, review the requested permissions and click "Allow"
5. You'll be redirected back to Elephan. The Zoom card will display a green checkmark confirming the connection
Note: Only one Zoom account can be connected per Elephan user. To switch accounts, remove the current integration first.
Once connected, Elephan automatically processes new cloud recordings — no manual action needed.

Usage
How It Works
1. Record — Start a Zoom meeting with cloud recording enabled
2. End the meeting — Zoom processes and stores the recording
3. Automatic processing — Elephan downloads the video and runs AI analysis (transcription, summary, action items, insights)
4. View results — Open the Meetings section in Elephan to see your processed meetings
Click any meeting to access:
- Full transcript with timestamps
- AI-generated summary and action items
- Video playback
Enabling Cloud Recording on Zoom
1. Go to zoom.us → Settings → Recording
2. Enable Cloud recording
3. (Optional) Enable "Automatically record meetings when they start"
Requirements
- Cloud recording only — local recordings are not processed
- MP4 video required — audio-only recordings are not supported
- Active Elephan account — inactive accounts won't process recordings
- Integration connected — if disconnected, new recordings won't be processed
Supported Meeting Types
Scheduled, instant, recurring, and multi-participant meetings.
Processing Time
- Under 30 min meetings: 5–10 minutes
- Longer meetings: up to 30 minutes
- If a recording hasn't appeared after 1 hour, contact support

Removing the App
From Elephan
1. Go to Settings → Integrations → Communication
2. Click the trash icon on the Zoom card
3. Click "Confirm" in the dialog
From Zoom Marketplace
1. Go to marketplace.zoom.us → Manage → Installed Apps
2. Find Elephan and click Uninstall
Note: If you uninstall from Zoom without disconnecting in Elephan first, the integration will stop working automatically and stored credentials will be cleaned up.
Implications of Removal
- New recordings — will no longer be processed
- Existing transcriptions — remain accessible in your account
- OAuth tokens — immediately and permanently deleted from Elephan
- Your Zoom account — not affected (recordings, settings unchanged)
- Data deletion — to remove all stored data, contact ajuda@elephan.ai
To reconnect, follow the setup steps again. Only new recordings after reconnection will be processed.

Troubleshooting
Issue: Recordings not appearing
Solution: Verify cloud recording is enabled in Zoom Settings → Recording
Issue: Recorded locally by mistake
Solution: Select "Record to the Cloud" instead of "Record on this Computer"
Issue: Processing seems stuck
Solution: Zoom needs a few minutes to finalize the recording — wait and check again
Issue: "Integration not found" error
Solution: Reconnect Zoom at Settings → Integrations → Communication
Issue: Authorization errors
Solution: Disconnect and reconnect the integration to refresh tokens
Issue: Video not playing
Solution: Wait a few minutes and refresh the page

Privacy & Data Handling
What We Access
- Recording files (MP4) — to generate transcriptions and summaries
- Meeting metadata (topic, date, duration) — to organize your transcriptions
What We Do NOT Access
- Zoom profile information, chat messages, contacts, or any other account data
- Meetings that are not cloud-recorded
Data Storage & Security
- Recordings stored in AWS S3 (US-East-1, encrypted at rest)
- All data transmitted via TLS/HTTPS
- Webhook payloads validated with HMAC-SHA256
- OAuth tokens stored encrypted, used only for recording downloads
Data Deletion
- On disconnect: OAuth tokens are immediately deleted
- On request: Contact ajuda@elephan.ai for complete data removal
- On account deletion: All data (transcriptions, recordings, summaries) is permanently removed
