User assignation lets you optimize the organization of your work by assigning consultations and follow-ups to different members of your team. The dashboard can be filtered accordingly, giving everyone a specific view of their tasks.

User management for questionnaire assignment

To use this feature, your users' information must be up to date. It is therefore advisable to create an account for each employee, so that they appear in the assignment options.

Assign a consultation or follow-up to one or multiple users

When starting a consultation or planning a follow-up, you can assign the questionnaire to one or multiple team members.

The drop-down list displays users by account type. By selecting an account type, the users included in that category will be displayed, as will the “All [role]” choice at the top of each list.

  • To assign the questionnaire to a specific user, select the user's name from the drop-down list.

  • To assign the questionnaire to an account type rather than a specific user (e.g., to assign a consultation to all pharmacists), select “All [role]”.

✅ The “Any [role]” option is useful when a questionnaire can be managed by any pharmacist assistant, pharmacist or nurse, rather than by a specific employee.

🚨 Please note that user assignation is not mandatory. If no assignment is selected, by default the questionnaire will be “Unassigned”, and will be visible to all as long as no filter is applied to the dashboard.


Filtrer the dashboard

A new filter at the top right of the screen lets you sort questionnaires by user. The filter is applied in all sections of the dashboard, ensuring that only consultations or follow-ups corresponding to your filter are displayed.

By default, the filter is “Everyone”, where all questionnaires are displayed, regardless of whether they are assigned to a user or not.

You can choose:

  • Me (Your user): Displays questionnaires assigned to the logged-in user and their role. (e.g. “Any pharmacist” for a pharmacist-type user);

  • Unassigned: Displays only unassigned questionnaires.

✅ You can also view the questionnaires of a specific colleague by selecting their name from the drop-down list.

When you reset the filter, it will default to “Everyone”.

🚨 Filters are retained during the session and reset the next time you log on.

Summary cards show the assigned user in the bottom right corner. If no information is present, the questionnaire is unassigned.


Modify assignment on an existing questionnaire

To modify the assignment of a questionnaire, open the questionnaire details via the dashboard. Then click on the assignment bar and select or deselect users as required. Click on confirm.

🚨 If an “In progress” or “Done” questionnaire is reassigned, it will move to the “To be analyzed” section and will be visible to newly assigned users.

✅ When a user starts analyzing a questionnaire by dragging the pad into the “In progress” section or clicking on “Begin analysis”, they automatically becomes the person assigned to this task.
