Managing Groups with a StayNTouch Integration

Within Event Temple, it's possible to add a new Group, which will create a Group in StayNTouch, or link an existing StaynTouch Group to create a Group in Event Temple.

Regardless of the Group status, every time a Group is created on Event Temple, it will be created in StayNTouch, as long as the "Create On PMS" checkbox is selected (this is pre-selected by default).

When a Group is synced, any updates to that Group in Event Temple will get pushed to and saved in StayNTouch.


Add a New Group

From a New Booking

  1. On the New Booking wizard, fill in the Booking Details

  2. Select This Booking has a Group

From An Existing Booking

  1. Access the Booking

  2. Click Add a Group -> Add a New Group

Adding your Group

No matter which above option you choose, you'll be brought to the New Group page. To review room availability click View Availability button at the top-right.

  1. Fill out the respective fields, such as Rate, Market Segment etc

  2. Select a Rate

    • If using a Custom rate, click add/edit Room Rates

      • Enter the rates for each required Room

      • Optional Add Override Rates* (see below for more)

      • Click OK

  3. Enter Room Blocks for each Room Type, on each Date

  4. Optional: fill in the information in any other fields

  5. Click Save

๐Ÿ‘‹The Create on PMS box is selected by default, meaning the Group will be immediately created in StayNTouch.

You can unselect it if you do not want it synced to the StayNTouch right away.

*Use Override Rates To Add Multiple Rates

Using Custom Rates, you have the ability to set different nightly rates in your Event Temple Group, which will Sync to StayNTouch.

Note: Due to technical limitations, this feature is for single/double pricing only. Triple and Quad pricing is not available. When you begin your new Group:

  1. Select Custom rate, click add/edit Room Rates

    1. Click +Add Room Type & enter the main rates for each required Room

  2. Click +Add Override Rate

  3. Enter the first Date Range you want to override

    • Note, dates are inclusive, meaning if you select 24-26 of Jan, the 24, 25 & 26 will be overriden

  4. Click Add

  5. Optional: Repeat Steps 7 & 8 for any additional overrides

  6. Click OK

  7. Complete the rest of your Group following the steps above.


Link to an Existing Group

You can link an existing Group from StayNTouch to Event Temple. When searching for an existing StayNTouch Group to link in Event Temple, the name must be exactly as it appears in SNT

  1. Access the existing Booking

  2. Click Add Group

  3. Click Link an Existing Group

  4. Enter the Group Name (exactly as it appears in the PMS)

  5. Select the Group

  6. Click Link


Changing a Group to Lost

Changing a Group to Lost in Event Temple will update the status in StayNTouch to the corresponding StayNTouch Hold Status. To Change a Group to Lost:

  1. Access the existing Booking

  2. Click Edit Group

  3. Change Group Status to Lost

  4. Click Save

Note: If the entire Booking is not going ahead, you can change the Booking Status to Lost, and you will be prompted to update the Group at the same time.

Deleting a Group in Event Temple

Deleting a Group in Event Temple will NOT delete the group or release the rooms in StayNTouch.

Before deleting a Group in Event Temple the status of the Group will need to be changed to Lost to release the rooms in StayNTouch, as described in the previous section.

  1. From the Group section on the Booking click on Delete

  2. Click OK

Once the group has been deleted you can add a different group if needed.


Demographics

The Demographic fields from StayNTouch are displayed directly in the Add & Edit Group screen:

Clicking any of these will open a popup allowing you to change it. Please note that the drop-down contents are automatically updated every 7 days from StayNTouch.

If they don't match what you have in StayNTouch, you can click the "Refresh" button to fetch them manually.


Important Considerations about Groups

  • If there are changes to the Room Types once the Group is created (for example, the guest has decided to book King Rooms, when previously they were not blocked) it must be updated in StayNTouch, they will then sync through to Event Temple.

  • Pick Up is done via the StayNTouch Rooming List. Once Pick up has been added in StayNTouch, it will update automatically in Event Temple.

  • If you have multiple Groups in SNT with the same name, it is recommended that these are updated to have different names to avoid confusion when linking them in Event Temple.

  • A synced Group will have a green checkmark next to it.
