Connect your workspace to Example CRM to sync contacts, companies, and deal data automatically. This guide walks through enabling the integration, configuring sync settings, and troubleshooting common issues.
Before you start
Make sure you have the following before switching on the integration:
Requirement | Details |
Admin access | You must be a Workspace Admin or Owner to enable integrations |
Example CRM account | Active account on a Team plan or higher |
API access enabled | Turned on in Example CRM under Settings > Developer > API Access |
Verified domain | Your sending domain must be verified to sync email activity |
Data mapping plan | Decide which fields map before your first sync to avoid duplicates |
Step 1: Locate the integration
Go to Settings > Integrations.
Search for "Example CRM" in the integrations directory.
Click Connect.
Sign in with your Example CRM credentials when prompted.
Approve the requested permissions.
Step 2: Choose what to sync
Once connected, you'll be asked to choose which objects to sync. Each object type has different sync behavior and refresh intervals.
Object | Sync direction | Default refresh interval | Notes |
Contacts | Two-way | 5 minutes | Matched on email address by default |
Companies | Two-way | 15 minutes | Matched on domain name |
Deals / Opportunities | One-way (CRM to app) | 15 minutes | Read-only unless Advanced Sync is enabled |
Notes | One-way (app to CRM) | Real-time | Only notes tagged "Shareable" sync |
Tasks | Two-way | 10 minutes | Requires Task Sync add-on |
Custom objects | Configurable | Configurable | Available on Enterprise plans only |
Step 3: Configure field mapping
Field mapping determines how data lines up between systems. Incorrect mapping is the most common cause of duplicate or missing records.
Source field (Example CRM) | Destination field | Data type | Required |
| First Name | Text | Yes |
| Last Name | Text | Yes |
| Primary Email | Yes | |
| Phone Number | Phone | No |
| Assigned Rep | Reference | No |
| Lifecycle Stage | Enum | No |
| Deal Amount | Currency | No |
| Last Activity Date | Date | No |
| (unmapped) | Text | No |
You can add custom mappings under Integrations > Example CRM > Field Mapping. Unmapped fields are ignored during sync but remain available for future mapping.
Step 4: Set sync rules
Sync rules control what data is allowed to flow between systems, which helps prevent unwanted overwrites.
Rule | Behavior when enabled | Behavior when disabled |
Overwrite on conflict | Most recently updated record wins | Existing app data is never overwritten |
Sync deleted records | Deleting in either system deletes in both | Deletions must be manual in both systems |
Merge duplicate contacts | Automatically merges matches on email | Duplicates are flagged for manual review |
Sync historical data | Backfills up to 24 months of history on first sync | Only new activity going forward is synced |
Restrict by team | Only syncs records owned by selected teams | Syncs all records regardless of ownership |
Step 5: Turn on the integration
Review your object selections, field mappings, and sync rules.
Click Enable Sync.
The initial sync may take anywhere from a few minutes to several hours depending on data volume.
You'll receive a notification when the first sync completes.
Sync status reference
Status | Meaning | Action needed |
Active | Sync is running normally | None |
Paused | Sync manually paused by an admin | Resume from Integration Settings |
Error – Auth | API credentials expired or revoked | Reconnect the integration |
Error – Rate Limited | Too many requests sent to Example CRM | Wait for automatic retry, or contact support |
Error – Mapping Conflict | A required field is unmapped or mismatched | Review Field Mapping settings |
Partial | Some objects synced, others failed | Check the sync log for details |
Common issues
Contacts aren't syncing Check that the contact has a valid, non-duplicate email address. Contacts missing an email address are skipped by default.
Duplicate companies appearing This usually means company matching is relying on name instead of domain. Go to Field Mapping and confirm the domain field is populated for existing records.
Sync is stuck on "Initializing" Large accounts (50,000+ records) can take several hours for the first sync. If it's been longer than 12 hours, contact support with your workspace ID.
Some fields show as blank after sync Confirm the field is mapped in Step 3. Unmapped fields will always appear blank regardless of source data.
Disabling the integration
Go to Settings > Integrations > Example CRM.
Click Disconnect.
Choose whether to keep previously synced data or remove it.
Confirm disconnection.
Disconnecting does not delete records that have already synced unless you explicitly select that option.
