Your children are in place, and now it’s time to set up everything you need for creating recurring plans.

🏦 1. Your billing overview

👉 Where: Finance menu - Overview

The Finance Overview gives you a complete, actionable snapshot of your upcoming invoice run. From here, you can:

  • Add and edit payers

  • View and manage payment methods for payers

  • Manage your plans

  • View next invoices

  • Catch any issues that may prevent invoices from being sent

Now that you have a glimpse, let’s dive into the setup and bring this page to life! 🛠️


🎂 2. Add pricing groups

👉 Where: Finance menu - Overview > click Manage pricing in top right corner > click on Pricing Groups

Set prices for tuition and fees based on a child's age. If you charge the same amount regardless of age, simply enter one pricing band that covers all age groups, like "All Children."

☝️ We recommend setting up Pricing Groups before creating plans or fees.

Create pricing move rules

👉 Where: Click on the Pricing Move Rules button right next to Pricing groups.

By establishing rules for automatic changes, the app can ensure children automatically transition to the next pricing group based on their age. It’s a great tool for forecasting revenue and easing your workload!


🏷️ 3. Add discounts

👉 Where: if you were just adding pricing move rules, you can see Discounts underneath them in the Settings menu.

Otherwise click on Finance menu - Overview > click Manage pricing in top right corner > click on Discount Settings. Next, you can add all the discounts you use in your center, e.g. 10% for siblings or staff discounts.


💳 4. Payers

👉 Where: Finance menu - Overview

Now for the final piece before creating plans! Head back to the Finance Overview to ensure all children have payers assigned—this is required before adding plans. If any are missing, click “Add Payer.” You can also add multiple payers for a child. Just click the row, and you’ll see an option to add another payer at the bottom of the panel.

Here are some cases you might see in your Payer column:

  1. Multiple payers: If a child has more than one payer, a +1 icon will appear next to the payer's name. Both payers have all the necessary information in place.

  2. Missing payer email: An exclamation mark (!) next to the payer’s name means that the payer is missing an email, which will block you from being able to send the invoice. Clicking on the icon allows you to add the email.

  3. Missing payer: If no bill payer has been assigned to the child, you’ll see an Add Payer button. You can add a bill payer by clicking on the button.

  4. One payer: The child has one payer with all the necessary information in place.


✨ Add automatic payment methods on behalf of payers

While payers can add their own payment methods once they log in, we also made it possible for you to do it on their behalf in case you already have the info at hand.

In the payment method column you’ll see that we flag where a payment method is missing. Simply click on that cell and fill out the form.

💡 Why Automatic Payment Methods? They ensure you get paid on time, so payers won’t need to remember to do it manually, and all payments will transfer and reconcile automatically in Famly.

All payers in place? Fantastic 🎉 You can now start adding plans.
