This is a step by step guide to link experiences. For more information on what this feature is and if it is right for you, refer to this article.

First, Ensure Your Booking Calendars Show Maximize Availability

If you haven't already done so, please update all your experience booking calendars to show availability whenever you're available. For example, if you're available every day, make all your experiences available every day on their respective calendars. There's no need to limit or ration your availability across different days of the week.

Note: If you have active bookings, keep those dates on your existing schedule. For all other dates, you can delete them and then update your booking schedules to reflect your full availability.

Step 1: Open Your Booking Calendar

  • Log in to your account.

  • Go to your Booking Calendar, where you set up and manage the schedules for your Experiences.

Step 2: Find the Chainlink Icon

  • On the right side, look at the box that lists all your experiences. In the top right corner, you will see a light grey chainlink icon next to My Experiences.

  • Click on the chainlink icon (when clicked, the icon turns from light grey to black as in the image). A new window will open showing all your experiences (including multiple instances if they have different start times).

    Step 3: Select Schedules to Link Together

  • Select the schedules you want to link. These should be schedules that happen at the same time or schedules you cannot host simultaneously.

    • For example:

      • Link all your morning schedules together (e.g., 8 AM - 10 AM slots).

      • Link all your afternoon schedules together (e.g., 2 PM - 4 PM slots).

      • Link all your experiences (across all schedules) together if you can only host one per day.

  • f you've set up different start times for your experiences in different seasons (for example, due to changing sunrise or sunset times), please make sure to select all the different schedules of that experience when linking across experiences.

Step 4: Save Your Links

  • After selecting the schedules to link, save your changes by “clicking” the paperclip icon again (it will turn light grey again).

  • Now, when one of these schedules is booked, the others in the linked set will automatically become unavailable.

Important Reminders

  • You can link specific schedules of experiences, not just entire experiences. This gives you flexibility to manage your availability precisely.

  • Each schedule can only be linked in one set. You cannot link the same schedule in multiple sets.

  • Make sure to link schedules that truly overlap or that you cannot host at the same time to avoid any scheduling issues.

  • If you have existing schedules, we suggest you re-do your booking calendar to enable this feature effectively. Keep any dates with active bookings and delete other schedules as needed.

Examples

  • Example 1: You have two experiences:

    • "Photo Tour A" offered at 8 AM - 10 AM and 2 PM - 4 PM.

    • "Food Tour B" offered at 9 AM - 11 AM.

  • You can link the morning schedules of Photo Tour A and Food Tour B (8 AM - 11 AM) together, so if one is booked, the other becomes unavailable for that time.

  • You can also include the afternoon schedule of Photo Tour A in this linked set if you only want to do one tour per day.

  • Example 2: You have one experience with multiple schedules:

    • "Cooking Class" offered at 10 AM - 12 PM and 3 PM - 5 PM.

  • You can choose to link both schedules together if you don’t want to run two experiences on one day but still want to give travelers the flexibility of multiple options. If the morning class is booked, the afternoon class also becomes unavailable.
