How to create a booking calendar?

FOR EXPERIENCE MAKERS: A Step-by-Step Tutorial

Step 1: Select Your Experience

  • Access Calendar: Go to the Booking Calendar from the Main Menu.

  • Select Experience: Click on the circle next to the name of the experience you want to schedule.

  • Schedule Options: Click on the three dots next to the name, then choose "Create Schedule" from the dropdown for creating a schedule for a specific planning horizon (e.g., one month, three months, entire summer), or select "Create Entry" for a single event.

Step 2: Define the Planning Horizon

  • Start Date: Click on the first date from which you want to schedule (not earlier than April 29, 2024), ensuring only one date is selected for the start date. This date will turn into a blue circle.

  • End Date: Click on your desired end date for the schedule.

  • Navigate Calendar: Use the arrows next to the month names to navigate between months if your start and end dates are in different months.

  • Visual Indicators: The entire period from start to end date will be highlighted in dark blue.

  • Proceed: Click "Continue."

Step 3: Frequency of the Experience

  • Choose Frequency: Select from these options: Daily, Some Days of the Week, or Specific Dates.

    • If Daily: Click “Continue” if the experience occurs every day.

    • If Some Days of the Week: Click on specific days (e.g., Tuesday, Wednesday, Thursday), which will be highlighted in dark blue.

    • If Specific Dates: Manually click on the specific dates you wish to include.

  • Visual Indicators: Look for a yellow dot below each selected date, indicating these are part of your schedule. The Planning Horizon selected is indicated at the bottom of the box.

  • Confirm Selection: After making your choice, click “Continue.” Dates matching your selection criteria within the planning window are automatically chosen.

Step 4: Setting Start and End Times

  • Start Time: The default is set at 10 AM; you must manually adjust this to the correct start time. You can choose to set different start times for your Experience based on the season or other factors by clicking the arrow next to the start time.

  • End Time: When you click on the arrow next to the Start Time, the end time is automatically determined based on the duration of the experience but can be adjusted further if needed.

  • If you want different Start and End Times for various days of the week, you will need to create separate booking schedules for each instance.

Step 5: Confirm Maximum Number of Participants and Number of Bookings

  1. Capacity: Displays the maximum number of participants as described in your Experience.

  2. Number of Bookings:

    1. For Private Experiences:

      • Indicates how many private groups you can run simultaneously. Many of you may only run one private group at a time.

      • If your Experience Description indicated that you have the capacity to run more than one group simultaneously, this will be automatically noted here.

      • Important: You can adjust this number up if you have recently acquired the capacity to host multiple private groups/bookings simultaneously versus when you filled out the Experience Description. Keep in mind that the booking system will enable as many simultaneous bookings as you indicate here.

    2. For Shared Experiences:

      • Indicates the maximum number of people you can have in a group, with each person potentially being a separate booking.

      • If you intend to schedule multiple shared groups, you need to set up multiple booking schedules.

  3. Price per Person: This is automatically brought forward from your Experience Description

  4. Allow Overlapping Bookings:

    1. Uncheck this unless your experience spans more than one day.

  5. Proceed: Click "Continue."


Step 6: Review Terms

  • These payment terms and cancellation policy will be indicated to the Traveler when they book your Experience. Please note these for your awareness.

  • Click "Submit" to complete the creation of your schedule.

Ideally, create the Booking Calendar in blocks of 3-4 months at a time to manage shifts in season, vacation periods etc.

Set up your Calendar at least 6 months out and ideally 12 months out.

Repeat these Steps for each of your Fernwayer Experiences
