How to find, print or email Payments

Summary

To search for something specific in this list press CTRL + f (Windows) or Command (⌘) + f (Macintosh) and type in your search. 

Note Many steps guide you to check the select all box to the left of the Status column header. When you do this the forward/back buttons in the upper right of the browser disappear. To bring them back so you can go to the next page, clear the select all box.

How to recover deleted Payments

  1. Click Payments next to the folder in the top-left corner

  2. Click Archived

  3. Filter dates, customer name, etc.

  4. Find the payment

  5. Click Actions on the right side of the row for your specific payment

  6. Click Restore

  7. Repeat steps 5, 6, 7 to restore other payments

How to close payments all at once

  1. Filter Payment Status: Open

  2. Click Filter

  3. Check the select all box to the left of the Status column header

  4. Click Mark Payments Closed as of <today's date>

How to send new payments into QuickBooks

  1. Filter SYNCED TO QB ONLINE status

  2. Click No

  3. Click Filter

  4. Check the select all box to the left of the Status column header

  5. Click Sync to QB online

  6. Filter SYNCED TO QB ONLINE status

  7. Click Yes (Pending)

  8. Click Filter

  9. Check the select all box to the left of the Status column header

  10. Click Sync to QB online

How to sync Payments older than 30 days with QuickBooks

QuickBooks Autosync won't sync anything with a date that is older than 30 days from today.

  1. Filter SYNCED TO QB ONLINE status

  2. Click No

  3. Click Filter

  4. Check the select all box to the left of the Status column header
    or - Select the rows you want to sync 

  5. Click the Sync to QB Online button

QuickBooks, what does update pending mean?

The invoice was edited or a payment was applied, the QB sync status changes to updates pending. To update the payment:

  1. Filter SYNCED TO QB ONLINE status 

  2. Click Yes (updates pending)

  3. Click Filter

  4. Check the select all box to the left of the Status column header

  5. Click Sync to QB Online

How to find a check # that shows which Payments were paid

  1. Press CTRL + f (Windows) or Command (⌘) + f (Macintosh) and type in the check number

  2. Click the next button in the upper right to move to the next page, if necessary

How to export payments to keep as a backup

  1. Click the down arrow next to the Create Payment button

  2. Click Export

  3. The Payment list in CSV format will be sent to your email address

  4. Click Export

  5. Open the email and save the CSV file to your backup location.

Find the history of payments for just one customer

  1. Filter by customer name

See a list of Payments paid via credit card but not charged

  1. Filter Payment Type: Credit Card

  2. Open each payment and reapply it to the credit card on file

How to get to a specific page in Sales > Payments

For example, I have 150 pages and I want to be at around page 50. What's the fastest way to get there aside from clicking the next button 50 times.

Copy the following line in your address bar and change the 2 to the number where you'll want or where you think you'll want to be.

How to see Payments generated today

  1. Click Payments in the upper-left corner

  2. Click Today (or this week, or this month)
