After a worker finishes a shift, they fill in a timesheet with the hours they actually worked and send it to you for approval. You'll find timesheets waiting for you in the dashboard.
The timesheet is what we bill from, so it's worth a look before you approve it.
Check the start and finish times against your own records. Workers are asked to change the times if they started or finished differently from the booking, and to give a reason. Check the break. The break is unpaid and comes off the hours billed.
There is no clock-in or clock-out in Florence, so the timesheet is the record. If it doesn't match what happened on your floor, don't approve it.
Timesheets approve themselves after 7 days.
This is the part worth knowing. If nobody at your organization approves or rejects a timesheet within 7 days, Florence approves it automatically on your behalf and it becomes billable. It's there so workers aren't left unpaid when a timesheet gets forgotten, but it does mean an incorrect timesheet will go through if it's left alone.
So if something looks wrong, reject it inside that 7-day window rather than leaving it.
If you'd like auto-approval turned off for your organization, email partners.ca@florenceapp.com and we'll look at it with you.
Approving promptly also helps your workers. We pay every Tuesday, and a shift only makes that week's run once the timesheet is approved. Leaving one sitting means the worker waits another week for their money.
