A timesheet is missing or looks wrong

What to do if a timesheet hasn't appeared, or the hours on it don't match your records.

If a timesheet hasn't appeared, timesheets only show after the shift has finished, so give it a little time if the shift has only just ended.

If the worker hasn't filled theirs in, Florence submits it for them a couple of working days later, using the times the shift was booked for. So a timesheet may arrive later than you expect, with the booked hours on it rather than the actual ones. Those two things aren't always the same, which is worth knowing before you approve.

If a shift was worked more than a week ago and there's still no timesheet, email partners.ca@florenceapp.com with the date, the unit and who worked it.

If the hours look wrong, don't approve it. Reject it and tell us what actually happened.

The usual causes are a worker who stayed late or left early and didn't change their times, a break that wasn't taken or wasn't the length on the shift, or a shift that was covered by someone else.

Remember the 7-day rule. If nobody at your organization approves or rejects a timesheet within 7 days, Florence approves it automatically, and it becomes billable. A wrong timesheet that gets ignored will go through. Rejecting it is what stops that, so don't leave it sitting.

If you're unsure whether to reject it, reject it and tell us why. It's far easier to correct a timesheet than to unpick an invoice afterwards.
