What are appointment slots, and why should I use them?
Appointment slots allow you to manage your time and services more effectively by breaking down your availability, currently supported in 15-minute increments. This means that people can choose times like 9:00am, 9:15am, or 9:30am.
You can also limit the number of people who can reserve each slot, ensuring a smooth and organized flow of appointments. For example, if you set a limit of 3 people per 15-minute slot, once three people reserve 9:00 AM, that slot will no longer appear as an option for others.
Example Use Case: Long Lines at Open = Lots of Headaches
Josie's pantry opens at 9AM on Thursday, but her neighbors typically start lining up outside as early at 7AM. During winter and spring month, cold weather and rain can make it dangerous for elderly and unhoused guests, and the volunteers always feel overwhelmed seeing a long line.
To solve this, Josie decides to use appointments. Now, guests can schedule their visit - whether it's for a shopping-style visit, or picking up a pre-packed bag - right on their phone or device (or from the pantry's device!).
Now, guest's have no need to wait in line before the pantry opens. Guests have a scheduled time, and they can arrive a few minutes before to check-in. They complete their normal distribution, without feeling the need to arrive as early as possible. Plus, Josie has a much better idea of the day's total volume!
Step-by-step guide to setting up appointment slots:
Log into your account.
Ensure you have access to the admin or services portal.Navigate to the page where you want to add appointments.
Depending on your needs, you can configure appointments for:Walk-up services
Scheduled pick-ups
Delivery
Edit your service settings.
Locate the section labeled "Pickup Hours" (or the relevant service).
Click the blue pencil icon in the top right corner of the box to edit.
Set your service hours.
Make sure the operating hours are correct.
If needed, adjust your hours by clicking the blue pencil icon, updating the time ranges, and saving the changes.
Don’t forget to toggle between AM/PM to ensure accuracy!
Enable appointment slots.
Scroll to the bottom of the Pickup Hours section.
Toggle the “Appointment Spots” switch to On.
Define the number of slots per 15-minute increment.
Enter the number of people allowed per time slot.
For example, entering “3” will allow three people to reserve each 15-minute window.
Save your changes.
Once everything is set up, click “Save Info” to apply your settings.
Helpful Tips:
Double-check your hours before enabling appointment slots. Incorrect times might confuse your guests.
Be mindful of your service capacity when setting the number of slots per 15-minute increment.
Use the toggle feature (AM/PM) carefully to avoid scheduling errors.
What happens if I make a mistake?
If you need to make changes, simply return to the “Pickup Hours” section, click the blue pencil icon, and adjust the settings as needed. Don’t forget to save your changes afterward!
Can I disable appointment slots later?
Yes! If you decide you no longer need appointment slots, simply toggle the “Appointment Spots” switch to Off and save your changes.
