Everything you need to know about how Gable’s Sync with Microsoft Outlook.

👥 Users & Profiles

Can calendar events made by users not onboarded to Gable be synced?
Yes. When non-Gable users are added as primary guests or invitees in Outlook events, a Gable profile is created for them. The Welcome email will be suppressed.

Can non-calendar users book sync spaces?
No. All bookings for 2-Way Sync spaces must be made by users with an active Outlook calendar license. If a user without a calendar tries booking, Gable removes it to maintain scheduling consistency.

Can we book rooms through group calendars?
No. All events must be scheduled by a single designated user with an active Outlook calendar.

Can I create events directly on a room calendar in Outlook?
No. Events must be created from a licensed user’s calendar and then add the room as a resource.


🏢 Resources & Spaces

Multi-resource booking
If multiple resources are invited, Gable creates the booking on the first resource that accepted the event. Only one Gable booking will be created.

What happens when I delete a space in Gable?
The corresponding sync pair is automatically removed. Cleanup is performed similar to de-activating 2-Way Sync, but scoped to the deleted space.

What happens if I delete a resource in Outlook Calendar?
The Gable sync pair remains, but future Outlook changes won’t sync.

What happens if a resource pairing fails while I’m setting it up?
This usually happens due to permissions issues. Remove the sync pair, verify Outlook permissions, and retry. If the issue persists, contact support.

What happens if we unsync our spaces from rooms/resources?
Bookings will no longer sync between Gable and Outlook. Each system will only reflect the bookings created directly in it.


⏰ Sync Timing & Behavior

Sync timeframe
Default = 0 days in the past + 90 days into the future. Adjust these in your integration settings.

Sync refresh
The system updates weekly to keep your sync window always extending 90 days ahead (or whatever timeframe you set).

Are on-demand bookings supported?
No. On-demand bookings can’t sync because Outlook doesn’t handle chargeable bookings.

Are overnight bookings supported?
No. Bookings are limited to 24-hour calendar days. Create two bookings to cover overnight use.

Are repeating bookings supported?
No. Recurring bookings are not supported and won’t sync into Gable.

What happens with bookings that don’t begin and end on 30-minute intervals?
Outlook events keep their exact start/end times (e.g. 10:12–1:51).
But in Gable, you won’t be able to book overlapping time slots that touch those “extra minutes.”


⚖️ Conflicts & Permissions

Why am I getting this error?

You are receiving this error because you do not have the right permissions to connect the calendars within Microsoft Outlook. Reach out to your IT team or Microsoft Outlook admin to grant you permissions or make the connection for you.

What if permissions block writing to the user’s calendar?
If permissions are revoked, Gable flags this in logs and our team will contact you.

Does 2-Way Sync respect Gable booking rules?
No. Bookings from Outlook bypass Gable’s rule engine (e.g. restrictions or conflict warnings).

How does 2-Way Sync handle race conditions?
If two bookings request the same resource simultaneously (one via Outlook, one via Gable), the first accepted by the resource is confirmed, and the other is rejected.


🔄 Integration & Compatibility

Can we use 2-Way Sync and 1-Way Sync at the same time?
No. You can only use one type of sync at a time.

Can we integrate with Outlook and Google tenants simultaneously?
No. Only one provider can be connected at a time.

Will Outlook-side integrations still work?
Yes. Outlook-created bookings with integrations configured will trigger normally.
But bookings initiated in Gable won’t trigger third-party integrations.


🔔 Notifications & Check-Ins

Will Gable check-in notifications still be sent?
Yes. Outlook doesn’t have a check-in feature, so Gable handles check-ins as usual.

If I check in via the Gable app or Teams, does it count for Zoom Rooms?
No. A separate integration with Zoom is required.


👀 Visibility & Attendees

I was invited to an event but don’t see it in Gable. Why?
If the organizer hides attendees in Outlook, the event won’t sync to Gable for you.

Why don’t I see all invited attendees in my Gable booking?
If the attendee list is hidden in Outlook, Gable can’t sync the attendees list.


💳 Subscription

What subscription is required?
2-Way Sync is available for all companies with HQ enabled in their Gable subscription.
