How to Invite and Manage Employees in Gable

In this article, we cover the "Company users" report within Gable, including how to invite, change roles, delete, and reactivate users.

Inviting Users

Option 1: SSO

  • If you have SSO integrated, simply have your IT team give your employees access to Gable within your SSO platform. From there, your employees can enter their email address and be prompted to log in with SSO.

Option 2: Single User Invites

  • If you do not have SSO integrated, you can add single users by navigating to your "Company users" and selecting "+ invite users" on the right hand side of the page under the active users graph.

  • From here, you can simply add your team's emails one by one and select invite.

Invite Option 3: Multiple Teammates At Once

  • To bulk invite users, from the last screen, select "Add multiple teammates at once."

  • This brings you to a bulk upload option where you can enter a large number of comma separated emails. After you've entered these emails, select "Invite" just like before.

Invite Option 4: The Invite Link

  • Using this method, you will simply select the "Or copy link to share" button shown above. This will copy an invite link to your clipboard. You can then share this link out to your team however you'd like to and they will be able to easily join your company account.

Invite Option 5: HRIS Integration (without SSO integration)

  • If you have integrated your HRIS tool with Gable, all of your employees will appear in the "Company directory" tab. From here, you can select the "Not invited" tab and select a group of employees or all that have not yet been invited to send them an invitation to join your team.

  • Once you've sent an invitation, you can use the "Invited" tab to send a reminders to those employees who have yet to accept their invite.

Managing User Roles

After your employees have created their Gable profiles, you can navigate to "Company users" and search the user list for employees to update their role by clicking on the role next to their name. Definitions of each role are:

  • Administrator - full admin access and able to control settings/preferences, upload and edit floor plans, grant admin access to others, book on behalf of others, and see dashboard and reporting. Default approver unless assigned to others.

  • Booker - able to assign bookings to other users or book on behalf of others

  • Approver - able to approve bookings that are outside of set parameters. Can be assigned by department.

  • User - able to book spaces/desks for themselves

Deleting Users

If you have an HRIS integration set up in Gable, your employees will automatically be removed from Gable if they are removed from your HRIS. You will see them in the "Deleted" tab in "Company users."

Without an HRIS integration, you can delete users by searching for the employee you wish to delete in your "Company users" report. Once you see the employee, hover over their record and an image of a trashcan will appear on the far right. Click on the image and confirm to delete the user from Gable.

Reactivating Users

If you have deleted a user by mistake, go to the "Deleted" tab and hover over the user you'd like to reactivate. A trashcan with an up arrow will appear. Select this image and confirm that you would like to reactivate the user.
