How to Manage & Received Shipments in Genie

Our new feature lets you break your purchase order shipments into parts and update them when you receive them.

Purchase orders are at the core of Genie, and that's why we have spent some time developing split shipments - a better way to manage your shipments under just one Purchase order.

These shipments allow you to split your order into separate parts so you aren't forced to receive everything all at once or have to separate POs into multiple parts. The best part is it only takes a few clicks to configure and receive a shipment.

How to Configure Shipments?

Let's walk through how to configure and receive shipments in Genie!

You'll want to start with a PO that is set to be received or has been received.

Step 1: Ensure all details are accurate.

You want to review the PO before you begin updating and receiving shipments. That way when you are ready to click receive you don't have to worry about pushing too many or too little stock to your Shopify account.

Step 2: Manage your Shipments.

Now that all of the details are accurate you can manage your shipment.

Step 2.2: Select "Manage" in the top right of the Shipping card.

This will open a window that allows you to allocate stock, update specific shipments, and add context to any given shipment.

Step 3: Allocate stock and update the number of shipments if needed.

Now that you are in the Shipments window you can update the stock that should be in each shipment. If you are only receiving one shipment, feel free to skip this step and the next as your stock will already be allocated.

Step 3.1: Update stock levels for each shipment.

In the main part of the table at the top right corner, you can increase the number of shipments by clicking "Add Shipment." From here you can begin updating the units each shipment contains. Make sure before you move on to another step you click save!

Ex. If you are ordering 1000 glass vases and one shipment is coming tomorrow with 300 and the remaining 700 are coming in a week, you can update Shipment 1 with the first 300 and Shipment 2 with the remaining 700.

Step 4: Edit the shipment to ensure all context is added.

Next to each shipment is an "Edit" button. This button opens the settings of the shipment for you to update the name, location, shipping method, tracking number, and arrival date.

Most of this information option except the location. This ensures that the units are allocated to the right location in Shopify.

Step 4.1: Once everything is configured correctly click save.

Now, your shipments are configured and ready to be received. Receiving products can be done from the Shipments page, or from within the PO you created by selecting "Mark as Received."

How to Receive a Shipment?

Step 5: Receiving a PO shipment.

Once everything is all ready and properly configured, you can receive the order. To do this, first select the "Mark as Received" button at the bottom of the shipment card.

Step 6: Confirm the shipment you are receiving.

After you click that button you will be met with a popup to confirm the shipment you are receiving and the date you want to receive it. Make the appropriate selections and click "Select."

This will open you to a confirmation window where you can reject stock and review the information in the shipment. Always make sure you have the correct location set then click "Receive" in the top right corner.

Step 7: Pushing to Shopify or not.

When you receive an order you have two options.

Option 1: Have the units automatically push to Shopify and update.

Option 2: Mark the order as received but don't push units to Shopify.

If you choose to update to Shopify, give it a few seconds and refresh your Shopify product page to see the updated quantities. You should see a success message in the top right corner if the receiving was successful.

If you are receiving more than one shipment you can repeat steps 4-7 to receive all of your shipments.

Once everything has been received and either manually updated or automatically you are good to go about your day! You have now successfully received a shipment in Genie and you should now see the PO status is set to "Fully Received" if all shipments have been updated and "Partially Received" if you still have units on the way.
