This guide explains how to connect CLARA with Greenhouse. This integration allows you to automate candidate follow-up and engagement, and view CLARA insights directly within Greenhouse.

Use this guide if your team uses both CLARA and Greenhouse as part of your recruiting workflow.

🧰 What you'll need before getting started

Before starting, make sure you have:

  • Partner Admin access in CLARA

  • Greenhouse Site Admin permissions (required for API key creation and webhook setup)

  • Developer permissions in Greenhouse (required for Dev Center access)

Note: Without the permissions above, you will not be able to complete the setup.

🧭 How to connect CLARA with Greenhouse

Part 1: Connect

  1. Log into CLARA and go to Settings β†’ Integrations.

  1. Click Add New Integration.

  1. Select Greenhouse from the list.

  1. In Greenhouse, go to Settings β†’ Dev Center β†’ API Credential Management.

  1. Click Create New API Key and give it a descriptive name.

  1. Enable the following required API permissions, then click Save and securely copy the generated key (it will not be shown again).

  • Jobs: List Jobs (GET), Retrieve Job (GET)

  • Job Posts: List Job Posts (GET), Retrieve Job Posts for Job (GET)

  • Applications: List (GET), Retrieve (GET), Update (GET), Reject (POST), Move (POST), List Rejection Reasons (GET)

  • Candidates: List Candidates (GET), List/Edit Candidate Tags (GET/PATCH)

  • Tags: List/Retrieve/Add/Remove Candidate Tags (GET, POST, PUT, DELETE)

  • Users: List Users (GET)

  • Custom Fields: List/Create/Delete/Update (GET, POST, DELETE, PATCH)

  1. Find your Greenhouse subdomain by checking your browser's address bar while logged in β€” it's the part before .greenhouse.io (e.g., app3 in https://app3.greenhouse.io). If your organization uses SSO, the subdomain may be your company name.

  2. Return to CLARA. Enter your API Key in the Enter API Key field and your subdomain in the Enter Subdomain field. Click Connect to ATS. The status will change from "Not linked" to "Connected."

Note: You can find your API key and subdomain in the Greenhouse Dev Center.

Part 2: Configure

  1. Configure Candidate Processing. Select which Greenhouse jobs you'd like CLARA to track.

  1. Configure Map Actions. Toggle the switch to enable CLARA to synchronize statuses with Greenhouse. Click Next: Follow-up Questions.

  1. Configure Follow-up Questions. Select which candidate stages should trigger CLARA follow-up questions.

  1. Set up Webhooks. CLARA will display the endpoint URL and secret key you'll need for the next step.

  1. In Greenhouse, go to Settings β†’ Dev Center β†’ Webhooks. Create a webhook for each of the four events below, using the Endpoint URL and Secret Key displayed in CLARA.

  • Candidate has submitted application

  • Candidate or Prospect rejected

  • Candidate has been hired

  • Candidate has been unhired

  1. Return to CLARA and verify all webhooks show as "successfully implemented." Click Submit.

Once enabled, the integration will:

  • Sync jobs from Greenhouse into CLARA

  • Sync candidates from Greenhouse into CLARA for screening and scoring

  • Surface CLARA insights directly within Greenhouse

  • Trigger status updates in CLARA when candidates are submitted, rejected, hired, or unhired in Greenhouse
