Frequent questions

Introduction

Dashboard is the dashboard that Golfmanager provides you so that you can have full visibility of the evolution of your business. Better metrics, better decisions. We have divided this help article into two sections:

  • Section 1. Basic Version: Explanation of the dashboards included in the basic Golfmanager package.

  • Section 2. Premium Version: Detailed explanation of the tool to finish customizing your custom dashboard.

    • NOTE . This option will have a supplement in the monthly fee. Consult the technical team to request its activation.

Section 1. Basic Version.

This version includes the dashboards and metrics that we think are necessary to manage your business. These dashboards are the same in all clubs and the comments and opinions of all managers are taken into account. In the Premium version, each club will be able to add, modify, delete dashboards to customize to their needs.

Dashboard Management

  • SALES BY MONTHS. All sales by use date grouped by month are displayed in a bar chart. It is compared with the same month of the previous year and sales are predicted in future months. The formula for this forecast is (What I have already sold for this month) + (What I sold last year from today until the end of that period for that same month). That is, if the remainder of the period is exactly the same as last year, how much will I sell?

  • SALES vs -1. All sales are shown by date of use for the selected period and compared to the same period of the previous year, displaying it in a donut-type graph. The period goes from day 1 to the end of today. This graph shows you the percentage of achievement of what was sold in the previous period. According to the example, this month I have 13% of what I sold last year.

  • SALES vs PTO. It shows all sales by use date for the selected period and compares them with the budget, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold compared to what was budgeted. According to the example, this month I have achieved 10% of what was budgeted.

  • BOOKINGS FORECAST. The number of bookings with which you will end that period is predicted, shown in a number type graph. The formula for this forecast is (What I have already reserved for that month) + (What I reserved last year from today until the end of that period).

  • SALES FORECAST. The sales you will end that period with are forecast, shown in a number type graph. The formula for this forecast is (What I have already sold for that month) + (What I sold last year from today until the end of that period).

  • ONLINE SALES. All sales by date of use for the selected period are shown online and compared to the same period of the previous year, showing it in a donut-type graph. This graph shows you the percentage of profit or loss compared to the previous period. According to the example, this month I have sold 87% less online than last year.

  • NEW CLIENTS. The clients registered in the system in the selected period are shown compared to the previous year, showing the result in a number type graph. According to the example, this month 6 new records have been created in the club database.

  • DEBTS . All sales by date of use for the selected period pending payment are displayed and compared to the same period of the previous year, displaying it in a donut-type graph.

  • BUSINESS SITUATION. This table shows the following data:

    • OTB . What I have sold so far this year.

    • OTB -1 . What had been sold on the same day the previous year, and its comparison with this year.

    • Budget . The amount budgeted in each item for the current year, and the degree of achievement according to what was sold this year.

    • Closing -1 . What was sold the previous year in each item, and the degree of achievement according to what was sold this year.

    • Forecast . Calculation that predicts sales at the end of this year's period. The formula for this forecast is (What I have already sold for this month) + (What I sold last year from today until the end of that period for that same month). That is, if the remainder of the period is exactly the same as last year, how much will I sell?

Dashboard Bookings

  • TOTAL RESERVES vs -1. All bookings are shown by game date for the selected period and compared to the same period of the previous year, showing it in a number-type graph. According to the example, this month I have 70% less bookings than last year.

  • BOOKINGS FORECAST. The number of bookings with which you will end that period is predicted, shown in a number type graph. The formula for this forecast is (What I have already reserved for that month) + (What I reserved last year from today until the end of that period).

  • BOOKINGS BY MONTHS. All bookings by game date are displayed grouped by month in a bar chart. This widget allows you to filter by type of resource (green fees, buggies, etc.). It is compared with the same month of the previous year and bookings are predicted in future months. The formula for this forecast is (What I have already reserved for this month) + (What I reserved last year from today until the end of that period for that same month). That is, if the rest of the period is exactly the same as last year, how much green fees will I sell?

  • TOP 10. All bookings are shown by game date of the selected period and grouped by client, ordering from highest to lowest. This widget allows you to filter by type of resource (green fees, buggies, etc.). Therefore, you can easily see the clients who book you the most.

  • BOOKINGS BY COUNTRY. All bookings are shown by game date of the selected period and grouped by nationality from highest to lowest, comparing with the same period of the previous year, showing the results in a heat map. This widget allows you to filter by type of resource (green fees, buggies, etc.).

  • CHANNELS. All bookings are shown by game date of the selected period and grouped by sales channel (internet, hotel, ttoo, etc.) from highest to lowest, comparing with the same period of the previous year, showing the weight that that channel has. about the total bookings ... This widget allows you to filter by type of resource (green fees, buggies, etc.). These channels can be configured for each type of booking.

  • COLLECTIVES. All bookings are shown by game date of the selected period and grouped by group from highest to lowest, comparing with the same period of the previous year, showing the weight that this group has on the total reserves... This widget allows you be able to filter by type of resource (green fees, buggies, etc.). These groups can be configured in each client's file.

  • AGENCIES. All bookings are shown by game date of the selected period and grouped by agency from highest to lowest, comparing with the same period of the previous year, showing the weight that that agency has on the total bookings ... This widget allows you be able to filter by type of resource (green fees, buggies, etc.). These agencies can be configured in the file of each agency, from the client file, activating the "is an agency" option.

  • HEAT MAP. It shows all bookings from the selected date and the next 30 days and groups them by day and time, displaying the results in a heat map. This widget allows you to filter by type of resource (green fees, buggies, etc.).

Dashboard Accounting

  • COLLECTIONS (left) . The charges (VAT included) for the selected period are shown, grouped by payment method and type of charge. The types of collection are:

    • Debits : Collections made in the selected period for sales with a use date prior to the selected period. For example, "today I can collect a sale that was owed to me from last month."

    • Collections . Collections made in the selected period for sales with a use date of the selected period. For example, "today I can collect a sale that is enjoyed today."

    • Advances . Collections made in the selected period for sales with a use date after the selected period. For example, "today I can collect a sale that will be enjoyed next month or week."

    • Deposits . Collections made in the selected period to "recharge" the clients' balance. For example, "I add €100 to a member's file, which they will spend later." These deposits are an optional functionality in Golfmanager.

    • Box . Money entered or withdrawn from cash during the selected period. These movements are made manually from the cashier module. For example "I withdraw €20 of gasoline from my box for maintenance."

    • Bonds . Collections made in the selected period with a "bonus" payment method. For example, "The client pays this Green Fee of €100 with his green fee bonus."

    • On account . Collections made in the period and that have been saved as delivery on account. A deposit is a percentage that the client pays for a future booking. For example "The customer has paid €10 now for a booking next week of €100". This payment is not considered a collection because it does not complete the sale and a ticket has not been generated. That is why you have to take account deliveries into consideration so that your cash balances.

  • COLLECTIONS (right) . All charges in the selected period are shown, in a single number and compared to the previous period.

  • SALES . All sales in the selected period are shown, in a single number and compared to the previous period.

  • PRODUCTION . All sales in the selected period are shown, grouped by:

    • Families

    • Subfamilies

    • Product

    • Note. You can select this grouping in the widget options menu.

Shown in the table:

    • Sold units

    • Base or total without taxes

    • Total with taxes

    • Comparison with the same period of the previous year

    • Degree of budget achievement

    • Weight of that category over the total.

  • DEBTS . Total sales pending payment grouped into a single number and compared to the same period of the previous year. This widget has multiple ways to filter: by families, products, channel, etc.

  • PENDING PREPAYMENTS. Shows sales for the selected period grouped by customer, name and product. You can filter this information by group and payment status. This widget is very useful to know which prepaid tour operator sales are unpaid for the next 15 days.

  • AGENCY CHARGES. Shows the charges made in the selected period, grouping payment and usage date by customer. You can filter this information by billing series and group. This widget is very useful to know what prepaid tour operator charges have been received for the next 15 days.

Dashboard Pro Shop (Store)

  • SALES vs -1. All store sales are displayed by date of use for the selected period and compared to the same period of the previous year, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold in the previous period. According to the example, this month I have 92% of what I sold last year. For this widget to work you have to filter your store family from the widget settings menu.

  • SALES vs PTO. It shows all store sales by use date for the selected period and compares them with the budget, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold compared to what was budgeted. According to the example, this month I have achieved 1% of what was budgeted. For this widget to work you have to filter your store family from the widget settings menu.

  • TOP SUBFAMILY . All store sales in the selected period are shown, grouped by:

    • Families

    • Subfamilies

    • Product

    • Note. You can select this grouping in the widget options menu.

Shown in the table:

    • Sold units

    • Base or total without taxes

    • Total with taxes

    • Comparison with the same period of the previous year

    • Degree of budget achievement

    • Weight of that category over the total.

For this widget to work you have to filter your store family from the widget settings menu.

  • MARGIN OF SALES. Shows store sales (products that have the "manage stock" option activated) in the selected period, grouped by product and showing the sales price, cost of sales, and its margin. A summary of the overall is shown at the bottom.

  • STOCK ON ONE DATE. Shows the stock of each product on a specific date. You can change the date from the widget's settings menu. This widget allows you to filter by supplier, warehouse, family, subfamily, products, or products in stock.

  • HALF PRICE. Shows the average price of store purchases in the selected period and compares them with the same period of the previous year. The graph is donut type and shows the degree of achievement compared to the previous period. For this metric to work well, you must correctly select your store family in the widget configuration menu.

  • HALF PRICE. Shows the average price of your members' store purchases in the selected period and compares them with the same period of the previous year. The graph is donut type and shows the degree of achievement compared to the previous period.   • UNITS PER TICKET. Shows the units of products per purchase in the selected period and compares them to the same period of the previous year.   • STOCK ROTATION . The stock rotation report calculates the time it will take to break the stock (in days) of a subfamily taking into account the sales rate of the last 365 days.

Dashboard Members

  • ACTIVE QUOTAS . It shows the number of active installments at this time and groups them by type of installment, showing the weight it has on the total and comparing it with the previous period.

  • CATEGORIES . It shows the number of active installments at this time and groups them by category type (family, individual or corporate), showing the weight it has on the total and comparing it with the previous period. You can configure the category within the configuration of each quota type.

  • EVOLUTION BY MONTHS. Shows the number of installments grouped by month, showing the highs and lows of each month. This widget allows you to filter by year and/or fee type.

  • AGES . It shows the number of active installments at this time and groups them by age groups, showing the weight it has on the total and comparing it with the previous period. You can configure the age groups within the client plugin settings and by entering the date of birth in each member's file.

  • GENDER . It shows the number of active quotas at this time and groups them by gender, showing the weight it has on the total and comparing it with the previous period. You can assign the gender to each partner in their client file.

  • UPGRADES AND DISPOSALS BY QUOTA. Shows the number of quotas registered and canceled in the selected period, grouped by quota types.

  • SALES vs -1. All quota sales are shown by use date for the selected period and compared to the same period of the previous year, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold in the previous period. For this widget to work you have to filter your quota family from the widget configuration menu.

  • SALES vs PTO. It shows all quota sales by use date for the selected period and compares them with the budget, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold compared to what was budgeted. For this widget to work you have to filter your quota family from the widget configuration menu.

  • QUOTA SALES . All quota sales in the selected period are shown, grouped by the subfamilies of the quota family. Shown in the table:

    • Sold units

    • Base or total without taxes

    • Total with taxes

    • Comparison with the same period of the previous year

    • Degree of budget achievement

    • Weight of that category over the total.

For this widget to work you have to filter your quota family from the widget configuration menu.

  • AVERAGE STORE EXPENDITURE. Shows the average price of your members' store purchases in the selected period and compares them with the same period of the previous year. The graph is donut type and shows the degree of achievement compared to the previous period. For this metric to work well, you must correctly select your store family and the partner group in the widget configuration menu.

  • STATUS OF QUOTES. This table shows the following data:

    • OTB . What I have sold in installments so far this period this year.

    • OTB -1 . What had been sold on the same day the previous year, and its comparison with this year.

    • Budget . The amount budgeted in each item for the current year, and the degree of achievement according to what was sold this year.

    • Closing -1 . What was sold the previous year in each item, and the degree of achievement according to what was sold this year.

    • Forecast . Calculation that predicts sales at the end of this year's period. Dashboard Academy

  • CLASSES . Shows the number of classes and billing with taxes included in the selected period, grouped by teacher. The widget allows you to filter by the payment status of the classes.

  • SALES vs -1. All academy sales are shown by date of use for the selected period and compared to the same period of the previous year, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold in the previous period. For this widget to work you have to filter your academy family from the widget settings menu.

  • SALES vs PTO. It shows all academy sales by use date for the selected period and compares them with the budget, displaying it in a donut-type graph. This graph shows you the percentage of achievement of what was sold compared to what was budgeted. For this widget to work you have to filter your academy family from the widget settings menu.

  • STORE SALES . All store sales in the selected period are shown, grouped by the subfamilies of the academy family. Shown in the table:

    • Sold units

    • Base or total without taxes

    • Total with taxes

Section 2. Premium Version.

With this tool you can customize your dashboard by installing and uninstalling widgets. All widgets can be customized (data, colors, size) so that you can better adapt your dashboard.

You can also create as many dashboards as you need, so you can have a dashboard for a department, or a global vision of the business. Up to you.

Widget: Business Situation

  • Description : This widget gives you very good visibility of your business. The explanation of each data is as follows:

    • FAMILY: This report will group the information according to the configuration of your families.

    • OTB 2022 (On The Book): It calculates your current income for the entire selected period, for example "this month". In other words, as of today, how much have you earned this month.

    • OTB 2021: It calculates the same photo as the previous point, but from last year. That is, on this same day last year, how much income did you have for that month. The comparison is made with respect to OTB 2022. That is, a green number tells us that we are doing better than the previous year.

    • PTO: Golfmanager allows you to assign a budget to each subfamily. This column indicates the budget of that family. The percentage indicates the degree of achievement of your budget. For example, "50%" means that at this point in the period you have achieved half of what you had budgeted.

    • 2021: Calculates the income generated during the entire period of the previous year. The percentage indicates the degree of achievement compared to the previous year. For example, "50%" means that at this point in the period you have achieved half of what you generated last year.

    • FORECAST. It calculates your income forecast for that period. The formula for the calculation is as follows: [2021] - [OTB 2021] + [OTB 2022]. The percentage compares with what was generated at the end of the previous year. For example "120%" would mean that we are on track to exceed the previous year by 20%.

Widget: TOP Agencies (Bookings)

  • Description : Calculates the number of bookings made by each agency, showing the best 6. The data is as follows:

    • Weight. Calculate the weight that that agency has in this category. For example "31%" would mean that 31% of agency bookings come from this particular agency.

    • Amount. Calculates the number of bookings made in the selected period.

    • Comparison. Calculate the difference compared to the previous period. This way you can see if that agency is bringing us more or fewer bookings.

Widget: Total bookings

  • Description : Calculates the number of bookings made today in the selected period in a specific type of resource. The data is as follows:

    • Comparison. Compare this metric with the same period last year.

    • Same previous period: bookings made in the same period last year.

    • Total current period: Calculates the number of bookings already created in the selected period. The difference with the main calculation of the widget is that here we calculate all bookings for the month (past and future) while in the main metric only bookings for the period are taken into account without counting future bookings .

    • Total previous period: Calculates the number of bookings made in the same period of the previous year.

    • Pick Up previous period: Calculates the bookings that were made the previous year from the same day today the previous year until the end of the period. In this example, if you do the same as the previous year, you will make another 2,628 bookings in the remainder of the month.

Widget: Total Sales

  • Description : Calculates the sales made in the selected period. The data is as follows:

    • Comparison: Compare this metric with the same period of the previous year.

    • Same previous period: Sales made in the same period last year.

Widget: Total sales against previous period

  • Description : Calculates the sales made in the selected period and compares it with the same period of the previous year. With so many customization possibilities, you'll be able to pull almost any interesting metric out of your Golfmanager.

  • Customization :

    • Period: this month, this year...

    • Sales type:

      • Income: Calculate the total income in €.

      • Units: Calculation in units.

      • Average price: Calculate the average price in €.

      • Occupancy: Calculates the % occupancy (not in use).

      • Pickup Units: The amount of sales made last year from today until the end of the period.

      • Pickup Income: The income in € made last year from today until the end of the period.

      • Forecast Units: Forecast of units that will be sold at the end of the selected period.

      • Forecast Income: Sales forecast in € at the end of the selected period.

      • OTB Income: The amount of income we have today in the selected period.

      • OTB Units. The number of units sold today in the selected period.

      • Total income: Total income in the entire selected period.

      • Total units: Units sold throughout the selected period.

      • Unit purchases: Number of purchases made, regardless of the number of units within each sale. For example, if we put 4 green fees in a cart, here the metric will return "1", as it is a purchase. This way we can know how many purchases have been made online.

      • Average price purchases. In relation to the previous point, in that case it returns the average price of the purchases. For example, if 4 green fees have been purchased for a total of €100, the average price is €25.

      • Average unit purchases. Continuing with the same example from the previous point, the average number of units would be 4 units per purchase.

    • Origin: administration, internet.

    • Date type: use date, creation date.

    • Taxes: net, gross.

    • Family: you can filter by any of your families. This way you can know the Store's income in a period.

    • Subfamily: You can filter by any of your subfamilies. Following the previous example, you could get the income generated on shoes from the store.

    • Product: you can filter by any of your products. Following the previous example, you could obtain the income generated by a specific shoe model.

    • Collective: you can filter by any of your collectives. This way you can know the income of TTOO for example.

    • Booking Type: You can filter by any of your booking types. This way you can know the income or units sold for a specific type of booking such as GF 18H TTOO.

    • Paid: You can filter your metric by payment status. This way you can obtain a metric of the debts in a period.

    • Maximum occupancy: If you have configured what you consider to be your maximum occupancy, it will calculate the % occupancy.

    • Box: you can filter by any of your boxes and thus obtain the metrics of a specific box. For example, my cash debts.

    • Hide sales at 0 price. For certain metrics, especially for calculating the average price, we may be interested in not taking into account sales at €0.

Widget: Total sales against budget

  • Description : Golfmanager allows you to add a budget to each subfamily per month. This widget calculates the sales made in the selected period and compares it with your budget.   • Description : This widget is the most common because it gives you very good visibility of the evolution of your business. This graph calculates the income generated each month showing:

    • What was generated the previous year

    • What was generated in the current year

    • The income forecast (only in future months)

  • Recommendation :

    • Columns: 3

Widget: Collections per day (Specific for Itemized Taxes)

  • Description : This widget shows in a list form the charges that have been enjoyed and collected in the same period. The charges are grouped by payment method, family and accounting account. In addition, this widget is specially designed to break down the taxes of those products that have compound taxes. This graph also allows you to filter the results by payment method.

  • Customization :

    • Way to pay

  • Recommendation :

    • Columns: 2

    • Rows: 2

This widget requires special configuration if you have a product whose tax is compound. In that case, we will have to create two custom fields from Settings > General Settings > Custom Fields.

Custom field #1

  • Entity: BLLING: Tax breakdown

  • Name: taxpercent

  • Visible label: Tax percentage

  • Type: number with decimals (2 decimals)

Custom field #2

  • Entity: BLLING: Tax breakdown

  • Name: basepercent

  • Visible label: Base percentage

  • Type: number with decimals (2 decimals)

In the Tax configuration, in the Tax Breakdown those two custom fields will be configured as described below:

  • Tax percentage > taxpercent refers to the tax percentage (10%, 21%, etc...) that will be applied to the base.

  • Base percentage > basepercent is what part of the total amount the tax is applied to. (55%, 45%, ...)
