    • Start . Select here to return to the main screen.

      • Products. Grouped by family and subfamily.

      • Print. To print the sale and cart items in ticket format.

      • Collections report. Collection report for the day (until 00:00). Print on a ticket printer.

      • Report of charges per shift. Report of charges made during a specific shift, from the opening to the closing of the POS. This report shows all transactions carried out from the opening of the POS to the closing, regardless of the time. This report is very useful for Restaurants, which close their day after 00:00.

      • Payment report. Print on a ticket printer.

      • Open cash register .

      • Cashdeposit.

      • Cash withdrawal .

      • Count cash register.

      • Close cash register .

      • Invoice

      • Subscription. create a membership for a client. From this POS button, the first membership is issued.

      • Voucher. In order to create a voucher for a client

      • Send for payment. It allows customers to receive a payment link in their email, where they can review a summary of their purchase and proceed to payment safely and conveniently. To ship, make sure the products are marked as pending payment. Only in this state will you be able to generate and send the payment link:

        • Select the products pending payment at the POS.

        • Press the “Send for payment” button.

        • Click OK.

        • The system will automatically send an email to the client with a link.

        • The email sent to the customer will include a link. By selecting the link, the customer will see a summary of their purchase and will have the option to proceed to payment.

      • Link for payment. The functionality is the same as “Send for payment”, the difference is that it generates a link that you can send manually by email, Whatsapp, SMS, etc.

      • Split sale. To be able to divide a sales line into 2 or more parts. For example, if they want to pay you for a sale of €1,000 in 3 parts: €500 now, €250 later, and €250 even later. By clicking on this button, a screen will open where you will put the different amounts “500 250 250” separated by spaces. When you click “accept” you will see how the sales line you had selected becomes 3 lines with the quantities you have chosen. You will see that the units have also been updated proportionally. This way you can pay one of the three lines and leave the other two pending payment.

        Note >Imbalance by decimals: It is possible that the distribution or division of the sales line is not exact and an imbalance by decimals would be generated. For example, if we divide €10 into 2 parts there is no problem. We could do 5 + 5 or 8 + 2 and it adds up to a penny. However, if we try to divide 10 into 3 equal parts, we would have 3.33 + 3.33 + 3.33 and that would generate a difference of 1 cent. In these special cases, the system will automatically round up 1 cent to the first sales line to avoid the imbalance.

    • New sale . To start a new sale

    • Exit

    • On the button ith the 3 dots you will find:

      • Return

      • Park . To leave the sale on hold and then recover it and continue. Very useful for restaurants and/or stores.

      • See parked . To see all the parked sales.

      • Print without prices .

      • Print in popup . If you do not have a printer configured, a preview of what would be printed on a physical POS will appear on the screen. To activate this option go to this link to activate the Print in poup option.

      • Open cash register. click to open the cash register.

      • Update client .

      • Settings. quick acess to the POS settings. Special permissions are required.

      • Print without cancellations. When you enter several products in the POS and you need to cancel one due to an error, when using the Print POS button, the lines corresponding to the cancelled product and its cancellation are also printed. By using the Print button without cancellations, the lines of cancelled products and their cancellations are not shown on the printout when printing the sale. Very useful for restaurant to print the sales for the account.

  • Folder column . Your custom folders will appear in this column. Example: store, restaurant, etc.

  • Shopping cart . The items and services sold will appear here. Item name, quantity, price, discount, customer and invoice included.

  • Edition. (blue button with the pencil) allows to edit the quantity, price, or description, to add a discount to the lines of the shopping cart

  • Finish. To finish the process, either paying or leaving payment pending.

  • Cancel. (red button with the bin) allows to cancel the items on the shopping cart.

How to add products to cart

Section: Main Menu > POS > POS

Products can be added to the cart in several ways:

  • From another plugin (reservations, quotas, etc.). When making the reservation, enter your details and, when selecting POS, you will arrive at the POS with those products added to the cart

  • From the POS product search engine . Simply select, type the name of your product, and select from the list

  • With product buttons . Browse the folders and select the button for your desired product

  • Scanning barcode. Read the barcode with your scanner and the product will be automatically added to the cart

Viewing the editing window

Note. The editing window in this version can be moved around the screen out of the way.

  • Amount to edit . Select the desired amount to edit with the keyboard and it will appear in this section

  • Keyboard to edit . Use this virtual keyboard or those on your physical keyboard to edit the desired amount

  • Assign decimals . Select here to get decimals in your desired quantity. Note that you do not need to mark the points for thousands

  • Delete . Select here to correct the desired quantity

  • Close editing window . Close the edition sale here

  • Edit quantity . First mark the quantity on the keyboard and then this key to modify the units of the selected lines in the cart

  • Edit price . First mark the quantity on the keyboard and then this key to modify the unit price with taxes included of the selected lines in the cart

  • Apply discount . First mark the quantity on the keyboard and then this key to apply that discount (%) to the selected lines in the cart. Apply 0% if you want to delete the applied discount

  • Edit description . Select here to edit the description of the selected lines in the cart. It is useful to add something interesting to this product for the customer since it is printed on the invoice

How to edit the line quantity in the cart

Section: Main Menu > POS > POS

If you want to buy, for example, 20 units of a product... you do not have to select the button 20 times. For it:

  • Add a product to cart

  • Select the line (if there is only one line in the cart, you do not need to select the line)

  • Select Edit (orange icon)

  • Select the desired quantity on the keyboard (20)

  • Select the Units key . The cart line should now show 20 units

How to edit line price in cart

Section: Main Menu > POS > POS

If you want to modify the price of one or more sales, follow the following steps:

  • Add a product to cart

  • Select the line (if there is only one line in the cart, you do not need to select the line)

  • Select the Edit button

  • Select the desired price on the on-screen keyboard, for example 20

  • Select the Price button

  • The cart line should now show €20

NOTE . The price that is edited is the unit price, so if you have a quantity greater than 1, you will see the total price of all units in the line.

How to add an observation to a sale from the POS

Section: Main Menu > POS > POS

If you want to add observations to sales directly from the POS of one or more sales, follow the following steps:

  • Add a product to cart

  • Select the line:

    • If there is only one line in the cart, it is not necessary to select the line

    • If you do not select a line, the observation will be added to all POS products

    • To add an observation to just one of the lines, make sure to select it first.

    • Select the Edit button

    • Select Observations. A window will open to add the desired text.

    • Select Accept

    • Once the observation has been added, you can go to the Sales List and select the corresponding sale to see the observation you have recorded, in the Observations field.

Note: It is only possible to add observations to sales pending payment.

How to apply a discount to the line in the cart

Section: Main Menu > POS > POS

If you want to apply a discount (for example 20%) to one or more sales, follow these steps:

  • Add a Product to the cart

  • Select the line (if there is only one line in the cart, you do not need to select the line)

  • Select Edit

  • Select on the keyboard on screen 20 to continue with our 20% example

  • Select the Discount button

  • The cart line should now show a 20% discount

NOTE . If you select a line, the discount will be applied only to the selected line. If you do not select any lines, the discount will be applied to all lines in the cart.

How to override lines in the cart

Section: Main Menu > POS > POS

  • Select the Lines you want to cancel. If you do not select any line, the entire cart will be canceled

  • Select the Trash icon

  • The system will ask you in what payment method you want to return it. By default there is the option to return in the same payment method . Choose the Payment Method to generate the refund

  • Select Cancel . The system will generate negative charges and corrective invoices

How to edit the description to the line in the cart

Section: Main Menu > POS > POS

If you want the ticket or invoice to show a personalized product description:

  • Add a product to cart

  • Select the line (if there is only one line in the cart, you do not need to select the line)

  • Select Edit

  • Select the Description key . A pop-up window will open

  • Write the custom description

  • Select Accept

Viewing the payment window

  • Customer selector , to associate the payment with a customer, which may be different from the one of the sale

  • Invoice Type . Choose the type of invoice you want to generate when paid. You can also choose a complete invoice and leave it pending payment. If you do not choose anything, the system will issue a simplified invoice by default.

  • Amount to pay . By default, the total amount to pay for the selected lines will appear, but you can change with the keyboard to pay less or more (cash exchange)

  • keyboard to be able to modify the amount to pay

  • Delete key to correct any data incorrectly entered with the keyboard

  • Bill key , if you are paid with a bill and do not have to enter the amount manually with the keyboard

  • Close the window and cancel the payment process

  • Total of the lines selected in the cart

  • Pending payment for the lines selected in the cart. This amount will be different from the total when we want to make a split payment

  • Payment methods with which we can charge our client. This will include purse bonuses or units if the client has sufficient balance.

  • Payment pending to leave the selected lines of the cart at the customer's expense

How to pay for the cart. Pay for everything with a single payment method

Section: Main Menu > POS > POS

Once you have added and edited the desired products, we proceed to payment:

  • Select Finish . The payment window will open

  • Select the Payment Method such as Cash

  • The window will close, the lines will be marked as paid, an invoice will be assigned to them and it will be printed on the receipt printer

How to pay for the cart. Pay everything with different payment methods (split payment mode 1)

Section: Main Menu > POS > POS

Once you have added and edited the desired products, we proceed to payment:

  • Select Finish . The payment window will open

  • Write on the keyboard the Amount you want to pay with payment method 1

  • Select Payment Method 1 such as Cash . The system will record the amount and its payment method and update the amount pending payment

  • Select Payment Method 2 such as Card . The system will record the amount pending collection with this chosen payment method

  • The window will close, the lines will be marked as paid, an invoice will be assigned to them and it will be printed on the receipt printer

How to pay for the cart. Pay each line with different payment methods (split payment mode 2)

Section: Main Menu > POS > POS

Important . If you select a cart line, the edit or checkout will only affect those selected lines. If you do not select any cart lines, editing and checkout will affect all cart lines. This concept is what we will use to pay each line with different payment methods.
Once you have added and edited the desired products, we proceed to payment:

  • Select the Cart Lines that you want to pay with payment method 1

  • Select Finish . The payment window will open

  • Select Payment Method 1 such as Cash . The window will close, the lines will be marked as paid, an invoice will be assigned to them and it will be printed on the receipt printer

  • Select the Cart Lines that you want to pay with payment method 2

  • Select Payment Method 2 such as Card . The window will close, the lines will be marked as paid, an invoice will be assigned to them and it will be printed on the receipt printer

  • So on with all the lines

NOTE . If we want to pay the rest of the lines pending payment at once, it is not necessary to select each one of them. We will directly select Finish and the system will take all the lines pending payment from the cart. This generates significant savings in clicks.

How to pay for the cart. Pay a part and leave the rest pending payment (on account)

Section: Main Menu > POS > POS

Important . Since the system does not allow you to leave a simplified invoice pending payment in whole or in part, you will have to generate an invoice and a receipt.
Once you have added and edited the desired products, we proceed as follows:

  • Select the Client

  • Select the Invoice Type to Full Invoice

  • Select Finish . The payment window will open

  • Select Pending payment . A complete invoice will be generated

  • Select on the Invoice . The invoice detail will open

  • Select Receipt

  • Write the Amount you want to pay and your Payment Method

  • Select Accept . The receipt will be added to the invoice and you will be able to see the total of the invoice, what has been paid and what is pending

Cash movements

Section: Main Menu > POS > Cash Movements

They are read-only fields except the Observations field, in which you can add text.

  • POS . With which the operation was performed

  • Guy . Types of movement:

    • Collections in cash, card, etc.

    • Movements not related to collections are shown in different colors:

      • Green shift opening

      • Closing of shift in orange

  • Actual cash amount

  • Expected cash amount

  • Actual card amount

  • Expected card amount

  • Entry/Withdrawal . Shows the amount deposited or withdrawn

  • Payment

  • Observations . Space to record additional comments about the movement

Settings

Section: Configuration Menu > POS > Configuration

Cash register

  • Show user on the ticket. Activate/deactivate option

  • Hide print buttons . Activate/deactivate option

  • Hide pending payment button. Activate this option to hide the pending payment button from all the POS of your system.

  • Ask for discount reasons . Activate/deactivate option

  • Lock cash register per user. Activate/deactivate option

POS Listing

Section: Configuration Menu > POS > POS List

A Point of Sale Terminal (POS) is a screen where you can add products and services to a cart, pay for them, and print an invoice. V3 allows you to customize the buttons and payment methods of each POS, as well as being able to operate with several types of POS in the same sports center. For example, it is very normal for the restaurant to have a POS full of hospitality products and keys, while the Golf will have another with rentals, a store and vouchers, for example.


In this V3 version POS comes to replace the cash register concept .

  • Main button . It is a button that acts as a folder, that is, when you select it, all the buttons inside it are shown. Eg. Drinks, Food…

  • Product button . It is a button that has a product associated with it and when you select it, that product is added to the cart .

Special buttons

  • New

  • Actions:

    • Export to Excel

    • Import from Excel

    • See the trash

    • Bulk editing

Selecting an ID

General Section

  • Name for this POS. Pro Shop or Restaurant.

  • Warehouse from which your sales will be discounted if you have the warehouse module activated.

  • Type of POS. You have 2 options:

    • Normal . For a normal POS type

    • Restaurant . If it is a POS for a restaurant. What this will do is that access to this POS will be done through the restaurant module and a series of special functionalities will be activated.

  • Family . The product family that displays by default

  • High buttons

  • Font size buttons

  • Custom buttons

  • Confirm lines

Printer Section

  • Logo

  • white level

  • Text header for your ticket. Normally the CIF, Name and address of your company.

  • Footer text for the footer of your ticket. Normally a Thank you for your visit .

  • Printer . Choose the printer where the cash receipt will be printed. For orders. Sending orders to the kitchen or bar works differently than printing the bill or receipt. In these cases V3 can cover several scenarios:

    • You may only have one printer in the center (kitchen or bar), and you send the entire order to a single printer.

    • You may have a printer in the kitchen and another printer in the bar, and you want the food to be printed in the kitchen and the drink in the bar.

    • You may have a printer in the kitchen and another printer in the bar, and you want the food to be printed in the kitchen and the food/drink in the bar.

    • You may have several rooms and, depending on which room you are working in, it will print in one place or another, or in several places at the same time.

  • Print in popup : Activate this option if you do not have a printer connected. This way, when you make a payment at the POS, a preview of what would be printed on a physical POS will appear on the screen.

  • Print manually. Allows printing of receipts or invoices not to be done automatically, but manually, as needed. With this option activated, the POS will not automatically print receipts or invoices. To print, you must manually press the POS print button each time you need to or from the invoice detail, selecting Print in POS.

Buttons Section

We will understand this section better with an example:

  • You want to create two buttons:

    • one for Drinks that will act as the main button

    • and another from Coca Cola that will act as a product button and that we will place within the Drinks button .

To carry out this task we will have to create two buttons. First we would have to create the main Drinks button , which will act as a folder and where we will place all the other drinks. Second we will create the Coca Cola product button and put it inside the main Drinks button .

In case of creating a main button...

  • Text that will appear on the POS button. In our example Drinks .

  • POS in which this button will appear if you have more than one POS in our application. In our case we would choose Restaurant .

  • Left column . By activating this option, the button will be placed in the left column of the POS. Since we want to place the Drinks button in this column, we will activate this cash register.

  • Product that will be added to the cart if we select this button. Previously, the product would have to be created with its prices and taxes. Since in this case we want to create a main button and we do not want to load any product to the cart when selecting, we will leave it blank.

  • Main button if we want to put this button inside a main button. Following our example, we do not want to put the Drinks button inside another button, so we will leave this option blank.

  • Priority for this button. If we set a low priority (e.g. 1 or 2) the button will appear before those with higher priority (e.g. 20 or 30). So if you want this button to appear first, give it a lower priority than the rest.

  • Special function for this button if it is not the sale of a product:

    • Add reservation. To add an extra reservation to the POS and deduct from the stock, such as rentals: buggies, trolleys, set of clubs,...

      • Args: Enter the reservation type reference. For example, if the button is for an 18-hole buggy, select the reference corresponding to the type of reservation.

      • Image: Add the image you want to appear on the POS button.

    • Add modifier. Special Restaurant function. Selecting this option will activate an additional field on the screen called Label. Let's imagine that we put without ice. By clicking this button on the POS, the system will add a no ice label to the selected cart line and it will then be printed in the kitchen. That is, it will mainly serve us to create modifications of predefined dishes and drinks to later print on order.

    • Add free modifier. Similar to the previous point, but this time there is no additional field. By clicking this button, the system will display a window to add free text. That text will be added as a label to the selected cart line and printed in the kitchen.

    • Return. This function is used so that, when you click on the button, you exit the POS and return to the screen where you were (the table map or the occupancy.

    • Move table. This feature allows you to move the selected lines in the cart to another table on the map.

    • New sale to open a new cart from 0.

    • Options to open the POS options menu.

    • Print. This function allows you to print the bill to give to the customer.

    • Select group. This function helps you group dishes into firsts, seconds or desserts. Normally on the POS of a restaurant a button will be created for starters, others for seconds and another for desserts. The waiter, when taking the order, will click on first for example and the button will remain in selected mode. This means that all the dishes you choose next will be added to the cart already labeled first. When printed in the kitchen or bar, the system will group all the dishes by starters (without any label), starters, main courses and desserts.

    • Send message. Another feature for restaurants. By choosing this option, the following text field will be enabled. Imagine that we put March first on this new field. The waiter, by clicking on this button, will send a ticket to be printed in the kitchen saying the table number 42, go first. Thanks to this message, the chef knows that he has to start cooking first. Most of the time we will use it for this type of orders: starters, desserts, etc. But it can be used for any other task. In the end what this function does is send a fax to the kitchen with the text you want.

    • Send order to kitchen. This function sends the order to be printed in the kitchen and/or bar.

    • Return to the previous folder. Sometimes POS terminals have many folders with different levels. Eg. Drinks –> Beers –> Non-alcoholic –> Mahou sin. Well, many times you will need to return to the previous folder to navigate between folders quickly. This button is useful for this. Very useful to put in the top column.

    For our example we will leave this field blank.

In case of creating a product button...

  • Text that will appear on the POS button. In our example Coca Cola .

  • POS in which this button will appear if you have more than one POS in our application. In our case we would choose Restaurant . Note, we are going to place this button inside a main Drinks button that is already only visible for the restaurant, so it would not be necessary to put it in this button again.

  • Left column . By activating this option, the button will be placed in the left column of the POS. As we want to place the button within Drinks , we will leave this option blank.

  • Product that will be added to the cart if we select this button. Previously, the product would have to be created with its prices and taxes. Since in this case we want to create a product button, we will assign the Coca Cola product here .

  • Main button if we want to put this button inside a main button. Following our example, we want to put the Coca Cola button inside the main Drinks button , so here we will select the Drinks button . .

  • Priority for this button. If we set a low priority (e.g. 1 or 2) the button will appear before those with higher priority (e.g. 20 or 30). So if you want this button to appear first, give it a lower priority than the rest.

  • function for this button:

    • New sale to open a new cart from 0.

    • Options to open the POS options menu.
      For our example we will leave this field blank.​

Customize your button with colors and photos for a more spectacular POS:

  • Text color for your button

  • Background color for your button

  • Image for your button. You can search the internet for your favorite photos. We recommend that they be png (without background) or that they have the same color as your button background

  • Icon for your button in case you don't want an image

POS printers

Section: Configuration Menu > POS > Printers

Running a ticket printer with a cloud program works differently than a program downloaded to your PC. Your PC browser (Chrome, Safari, etc.) needs to interact with physical devices, and this has to go through many security restrictions. For all this to work correctly, and you can print tickets:

  • If your computer uses the WINDOWS operating system, you will need to connect the PC and the printer by cable , and download a program that links the browser command to print with your physical printer.

  • If your computer uses the ANDROID operating system, you will need to download an App that links this print order from the PC to the printer. In this case, if you want to print tickets and orders, you will need to work directly from the App. This way you will be able to work without cables and with total mobility (PDAs, mobile phones, etc.) making it the most recommended option .

From Golfmanager you can use any type of printer, but we recommend the following:

  • SUNMI . It is a printer that works through a cable network, Wi-Fi and/or USB. It is a printer that is designed to work in the hospitality industry since it is moisture-proof, emits a sound and a light when printing the ticket, and is very easy to configure. It is ideal for restaurants or places where you want to print through a PDA/Android mobile and work wirelessly.

  • EPSON . It is the traditional ticket printer, although they already have models with Wi-Fi like the Sunmi one. This printer needs to be connected to the network or PC by cable and a program that “runs” in Windows must be downloaded at all times.

Summary of the important points you need to know about printers:

  • The program works with Windows and Android systems.

  • We strongly recommend the SUNMI brand, but also EPSON.

  • You need the blue printer icon to be visible on your Windows for the system to print tickets. It is a good idea to have this service start automatically when you turn on your PC.

  • If you have problems downloading or running the installer, go to your IT specialist so that your PC trusts this executable to continue.

  • Remember to associate your POS with a printer from the configuration to complete the process.

  • Remember that at the POS you can customize the header and footer of the ticket. In the header you can add your company information: name, NIF, etc.

Add a printer

Section: Main Menu > POS > Printers

  • Select the Actions button

  • In the drop-down menu, select the Download printer program button according to your operating system:

    • Windows . If you encounter any problems when downloading, talk to your computer team to add this executable to the white list and thus prevent the Windows firewall from preventing you from downloading it. Simply follow the installer steps.

    • Android . From this moment you will need to enter V3 through this downloaded App and forget the browser you were using (Chrome, Safari, etc.).

  • Select the New button

  • Name . Assign a Name for this printer. It will help you recognize it later.

  • Guy . Choose what type of printer it is:

    • Windows/Linux . If you have chosen this type, it will ask you to indicate the Port where your ticket printer is connected.

      • Select the Printer Name when you downloaded the program

      • The Server URL will be displayed by default http://localhost:9090

    • Android . If you have chosen this type, it will ask you to indicate the IP of the terminal . Check the configuration of your terminal.

    • Mac . If you have chosen this type, it will ask you to indicate the Port where your ticket printer is connected.

      • Select the Printer Name when you downloaded the program

      • The Server URL will be displayed by default http://localhost:9090

    • Network printer . If you have chosen this type, it will ask you to indicate the Port where your ticket printer is connected.

      • The Server URL will be displayed by default http://localhost:9090

  • Ticket width .

  • Description .

  • Select the Save button

Once you have added the printer, you will need to complete the process according to the destination of this printer: if it is to print tickets or orders from the Main Menu > POS > POS Listing

How to set up a printer to print tickets

Section: Main Menu > POS > POS Listing

When a client pays you a green fee, service or account... the system will have to issue a ticket or simplified invoice with the tax and VAT data. You can have each point of sale print the tickets on a different printer (e.g. the golf on the reception printer and the bar on the bar printer). For it:

  • Search and select the Reference of the desired POS

  • Select Edit

  • In the Printer field , search and select the Printer on which you want the tickets for this POS to be printed

  • Select Save

From this moment on, every time you charge something through that POS, a ticket will be printed on the selected printer.

How to configure a printer to print commands

Section: Main Menu > Billing (configuration) > Subfamilies

Introduction to commands

Sending orders to the kitchen or bar works differently than printing the bill or receipt. In these cases V3 can cover several scenarios:

  • You may only have one printer in the center (kitchen or bar), and you send the entire order to a single printer.

  • You may have a printer in the kitchen and another printer in the bar, and you want the food to be printed in the kitchen and the drink in the bar.

  • You may have a printer in the kitchen and another printer in the bar, and you want the food to be printed in the kitchen and the food/drink in the bar.

  • You may have several rooms and, depending on which room you are working in, it will print in one place or another, or in several places at once.

Configure printer to print commands

The command printing configuration will be done through the product subfamilies. Subfamilies are like product categories that will be designated when creating the product. Example: the product Coca Cola and Fanta will both be in the Beverages subfamily . And I want the subfamily of drinks to be printed on the printer I have at the bar. As we said in the previous section, printing orders with several subfamilies, rooms and printers can be very complicated, but with our data model through the subfamily, this will be very easy.

Types of Cash

Section: Configuration menu > POS > Cash Types

Having installed the Cash module, we will have to register the types of cash that we are going to use in our installation.

  1. Select the New button.

  2. We will fill in the mandatory fields that appear in the new window:

  • Name of the type of cash that we are going to register. Example: 10 cents.

  • Amount in number of the type of cash that we are registering. Example: 0.10.

  • Type of cash. A drop-down menu will appear and we will have to choose whether it is a coin or a bill. Example: Currency.

3. Select Save.

4. Repeat this action to add all the types of cash you use to your drawer.
