Introduction

The POS is undoubtedly one of the most important parts of Golfmanager, since its main function is to sell and charge all the products or services of our club.

But the POS not only serves to sell and charge the customer. Its buttons can do many other things, making it the most powerful tool of Golfmanager. In this article we will show you the default buttons and actions in the POS, but we recommend you to read the article "POS Buttons" to see all the other possibilities: sending debt by email, splitting lines, making an invoice, etc.

It is important to be clear on the general concept that the POS shows all our sales in Golfmanager, and these are made up of several sales lines. We also like to call the sales "shopping carts" for better understanding, where you will be putting your sold items or sales lines. So a POS is like a shopping cart where you add products and services.

Parts of the POS

The POS consists of 2 parts: the central part with buttons and a display (or cart) on the right side of the screen.

In the central part we will add the folders and buttons according to our needs.

In the display (or cart) of the right part we are going to find:

  • Product searcher. From here we will be able to look for any product of our database. As soon as we select a product, it will be added to the cart automatically. As an alternative to this way of adding products to the cart we have the buttons or scanning a barcode.

  • Customer search. It is used to assign the sale and future ticket to a customer in our database. If there is no customer when adding products to the cart, the sales will be added without a customer and the ticket will come out as "unknown customer". If you have chosen a customer the sales will be added under his name.

    Note: If you land on the POS after making a booking or a class, and you have previously chosen the player or student, the system will display that customer's name here so you don't have to re-enter it.

  • Tabs:

    • Sales. Here we will see the detail of each sale of this cart.

    • Summary. Here we will see our sale in a more summarized way, without description of the lines of sale and grouping the quantities by products. It can be useful if you have a cart with many items.

    • Tickets. Here we will see all the tickets (or simplified invoices) associated to this cart or sale.

    • Invoices. Here we will see all the invoices associated to this cart or sale.

  • Cart. In this part we will see the lines of sale that will form our cart. 3 columns will be shown: concept, quantity and price.

  • Keyboard. Under the cart we will find the keyboard that we will need to be able to personalize our sale. Just to its right we will find the 3 most frequent actions:

    • Quantity. You will be able to change the quantity of units of any of your lines.

    • Price. You can change the unit price of any of your lines.

    • Discount. You can apply a discount to any of your lines.

    Its operation is simple:

    • Select the sales lines added to the cart that you want to modify. Be careful, if you do not select any line, what you do next will affect all the lines of this sale (or cart).

    • Select the desired number on the keyboard, for example "10" and,

    • Click on the action you want to perform:

      • Quantity: the selected lines change to 10 units.

      • Price: the selected lines change to 10€.

      • Discount: a 10% discount will be applied to the selected lines.

  • Action buttons: to the right of the keyboard and main actions, there is a column of buttons that can be very useful:

    • Cancel. It is used to:

      • In case the selected sales line is paid, to cancel the payment.

      • In case the selected sales line is unpaid, to remove it from the cart.

    • Customer. To assign the selected sales lines to a customer in our database.

    • Notes. To add notes to the selected lines and to be able to consult from the sales list.

    • Edit. To change the concept of the selected line. For example, you can have a product called "Event" and want to add "Event Communion Sandra" so that it appears in the ticket and invoice.

    • Return. It serves you to leave the POS and to return to the screen that you were previously. Very useful when you are making bookings and you want to return to the occupancy plan.

FAQ

How to sell/add a Product to the POS

You have 2 options to add a Product to the cart,

  1. Add the Product and modify the units and/or price if necessary.

  2. Select the units and add the Product.

For the second step follow these steps,

  1. Select on the keyboard the number of units you want to sell of a product. For example "5".

  2. Select the product you want to sell with any of these three methods:

    1. Click on the button for that product.

    2. Scan the barcode.

    3. Use the product finder to locate the product.

How to modify/edit the units of a sales line added to the cart

  1. Select the lines you want to modify. Note that if you do not select any line, the system will apply the changes to all the sales lines in this cart.

  2. Select the desired units using the keyboard.

  3. Click on the Units button.

If you have not yet added the sales line to the cart,

  1. Select the desired units using the keyboard.

  2. Add Product

How to modify/edit the price of a sales line added to the cart

  1. Select the lines you want to modify. Note that if you do not select any line, the system will apply the changes to all the sales lines in this cart.

  2. Select the desired quantity using the keyboard.

  3. Click on the "Price" button.

How to apply a discount to a sales line added to the cart

  1. Select the lines you want to modify. Note that if you do not select any lines the system will apply the changes to all the sales lines in this cart.

  2. Select the desired discount amount using the keyboard.

  3. Click on the "Desc (%)" button.

How to remove a discount from a sales line added to the cart

  1. Select the lines you want to remove the discount. Note that if you do not select any lines the system will apply the changes to all the sales lines in this cart.

  2. Select "0" using the keyboard.

  3. Click on the "Desc (%)" button.

How to cancel a sales line added to the cart

  1. Select the lines you want to remove from the cart. Note that if you do not select any line, the system will apply the changes to all the sales lines in this cart.

  2. Click on the "Cancel" button.

How to cancel a chargeback of a sales line added to the cart

  1. Select the lines you want to cancel the charge. Note that if you do not select any lines the system will apply the changes to all the sales lines in this cart.

  2. Click the "Void" button.

    The system will

    1. will create a void ticket with the same payment method with which it was previously paid.

    2. will change the status of that sales line from paid (green) to red (pending payment).

Note: in case you want to cancel a past collection, you can only do it if you have permissions to cancel past collections.

How to cancel a collection online with Advance Payments

  1. Select the lines of a ticket.

  2. Click on the "Cancel" button.

  3. Select the lines of the other ticket.

  4. Click on the "Cancel" button.

    The system will

    1. Will create a void ticket with the same payment method with which it was previously paid.

    2. will change the status of that sales line from paid (green) to red (pending payment).

How to partially reverse an online chargeback

To make a partial refund of an online payment, follow these steps:

1.- Go to General Settings > the payment gateway (Stripe, Redsys, ...) > Deactivate the option > "Return the money when cancelling".

2.- You can now cancel the desired sale lines to be refunded from the POS > Cancel.

3.- The system will generate a ticket in negative in case you want to make a copy.

4.- If the lines of sale already had an invoice, it will ask you if you want to generate a Rectificative Invoice, you say yes.

5.- Afterwards you will have to make a manual refund from the payment gateway website for the same amount, so you will have to talk to the department or the person in charge.

6.- Finally, re-activate in the system configuration of the payment gateway > "Refund the money when cancelling".

How to assign a customer to a sales line added to the cart

To add a customer in the POS there are 2 options:

  1. Click on the Select customer field where we will associate the next sales lines to the selected customer. We will observe at the bottom of each new line, the name of the customer.

  2. Click on the Customer button, located at the bottom right. We will associate all the sales lines to the selected customer or click on the desired ones to edit customer We will see at the bottom of each line, the customer's name.

NOTE: Be careful, if you do not select any line, the system will apply the changes to all the sales lines in this cart.

How to assign a note to a sales line added to the cart

  1. Select the lines you want to assign to a customer. Note that if you do not select any lines the system will apply the changes to all the sales lines in this cart.

  2. Click on the "Notes" button.

  3. Type the desired note.

  4. Click on Save.

How to edit the concept of a sales line added to the cart

  1. Select the lines you want to assign to a customer. Note that if you do not select any lines the system will apply the changes to all the sales lines in this cart.

  2. Click on the "Edit" button.

  3. Type in the desired item.

  4. Click on Save.

Customer Finder

When searching for a player when creating a booking or selling a product at the POS, etc. The system returns the results when typing in the following way.

Partial search (you don't have to put the text the same for Golfmanager to start returning results):

  • Name.

  • Phone number.

  • Email.

Total search (you have to enter the same text for Golfmanager to return results):

  • DNI.

  • Center card number.

  • Nº of member.

Send payment link from POS button

From the POS, once the sale is located:

  • Click on the Send for online payment button.

  • Select the template "Send for online payment".

  • If desired, you can add a booking expiration date until you make the payment.

  • Accept.

The customer will receive an email with an Url to make the pending payment.


Previously you will have to configure the POS button "Send email to customer".

Sell a voucher from the POS

Golfmanager offers vouchers in either unit, purse or co-pay.

To sell a voucher go to the Main Menu.

  1. Click on POS.

  2. Click on the POS button of the desired voucher.

  3. In the pop up fill in the fields:

    1. Customer: name to which the voucher sale will be assigned.

    2. Voucher: to which the voucher will be added if you have the same voucher.

    3. Recharge: is the balance of the recharge assigned to that sale

    4. Price: the amount to be paid for the voucher

  4. Click on Save

The voucher is now active, you can check the balance and movements from the customer's card.

At the end of a sale, the voucher payment option and its balance will be shown.

Paying with a voucher at POS

It is important to know that when a customer purchases a voucher, this voucher is activated as a new payment method in the POS, apart from the usual buttons such as credit card, cash and transfer we will find a new button which will be the active voucher button in the customer's card.

Once the products are ready to be paid at the POS, we will follow the next steps:

  1. Associate the sale to the customer if we have not already done so.

  2. Click on the Finish button

  3. Click on the desired payment method button in this case the Voucher to be used to pay for the purchase.

You will be able to consult the history of movements and the balance available for this voucher from the client's card, in the tab Vouchers or Listings > Vouchers.

Split payment between voucher and other payment method

At some point you will need to pay for a sale for an amount greater than the balance of the customer's voucher. To do so, you have 2 options:

  1. Recharge the same voucher with the difference, up to the total amount of the sale.

  2. Split the sale line with the POS button "Split sale"; one with the total of the voucher balance and the other with the total of the other payment method.

Pay with another customer's voucher (parent, child, friend)

It is important to know that when a customer acquires a voucher, this voucher is activated as a new payment method in the POS, apart from the usual buttons such as credit card, cash and transfer we will find a new button which will be the active voucher in the customer's card.

Anyway it is possible to pay a sale with a voucher that belongs to a third party. Once the products are ready to be paid at the POS, we will follow the next steps:

  1. Click on the Finish button

  2. Click on the Select customer option and look for the customer who owns the voucher.

  3. Once the customer is selected, the voucher will appear as the payment method among the different options available.

  4. Click on the voucher to finish the transaction.

Subsequently you can consult the history of movements and the balance available for the voucher from the Client tab > Vouchers tab, or in Listings > Vouchers.

Difference between POS customer and POS player in a booking

We must know who is the booking customer and who is the player.

If we are going to charge the main client we will do it by TPV Client.

If on the other hand the main client is an agency, hotel, TTOO and the player wants to make a sale, we will use the POS Player.

Direct debiting a sale from the POS

To debit a sale from the POS:

  1. Finalize the sale

  2. Select the customer

  3. Click on the payment method Direct Debit

Parking a sale at the POS

Once the sale line or lines of sale have been created in the POS

  1. Click on the Park Sale button and you will find it in the MORE button.

It is advisable to select a customer, later it will be easier to search.

Show parked sales at the POS

Once the sales line(s) is/are parked in POS

  1. Click on the Parked Sales button, you will find it in the More button.

  2. In the pop up click on the desired line

  3. The sale has been loaded in the POS

Retrieve or search for a sale from POS

Golfmanager registers each sale with a locator number.

To search for a sale from the POS follow these steps:

  1. At the POS, fill in the desired sale number.

  2. Click on the More button

  3. Click on Load Sale

  4. We observe that the sale has been loaded

We can also look for the sale from Listings > Sales or from the customer file tab Sales.

Connecting the laser gun / barcode reader

To do this, connect the gun to the computer, either by cable or bluetooth.

  1. For the gun to read the barcode, the barcodes on the products must be filled in beforehand.

  2. Go to the POS and read the barcode of the product.

  3. It will be automatically added to the cart.

  4. Finalize the sale.

Print a copy of the sales ticket from the POS

To print a copy of the ticket and you have located the sale in the POS:

  1. Click on the Tickets tab.

  2. Click on the printer icon.

Create Invoice from the POS

In the POS, once the sale has been finalized

  1. Click on the Invoice button

  2. Fill in the desired fields and click OK.

You can view the invoice in POS in the Invoices tab.

You can also see the invoice from Listings > Invoices

Create Corrective Invoice from the TPV

In the POS, once the sale has been created and finalized.

  1. Click on the Invoice button.

  2. Fill in the desired fields.

  3. Click on Advanced, fill in the necessary fields and select the invoice to be rectified.

  4. Click Accept.

You can see the invoice from the POS tab Invoices (1) or from Main Menu > Listings > Invoices.

Fractionating or splitting payments of the total price of a sale

If you want to split a sale into several payments, follow these steps:

  1. Create a sale from the POS.

  2. In case there is more than one sale line, click on the sale line you want to split, it will be marked in blue.

  3. Click the Split sale button.

  4. Select the desired amounts to pay, separated by a space.

  1. Once the quantities have been filled in, click on Accept.

  • If you do not have the button to divide sale, consult to create buttons of TPV.

Adding a comment to a sales line

To add a comment to a sales line, you will need to create a button on the POS with the Add Comment command.
