Alerts

Section: Main Menu > Tools > Alerts

The alerts module is a tool designed to notify you when you have automatic tasks (issue quotas, billing tasks) and an error occurs. You will receive a notification in this section indicating the number of errors. Audit

Section: Main Menu > Tools > Audit

The audit module is a tool designed to monitor and record the activities and changes made within the system, specifically in the reservations, sales and billing modules. Its main purpose is to guarantee the transparency, security and traceability of all actions carried out by users .

General Section

  • Action reference

  • Date and time when said action occurred

  • User who performed the action

  • Type of action, you have the option to edit, create or delete

  • Model is the module within which the action has occurred. For example, if I change a time reservation, it appears in Reservation / Occupancy

  • Reason is an explanation of why the action was taken. In the previous example of a booking time change, it is because the player cannot attend at the time they had booked.

  • Record ID Each number has a meaning; You have to consult the API documentation depending on whether you are in reservations, sales or billing

  • Action type: updated, imported or deleted. If data is updated through an import, it will be recorded in the audit.

  • Model is the module within which the action has occurred. For example, if I change a time reservation, it appears in Reservation / Occupancy

  • Form field that has been modified.

  • Value assigned to the field.

  • Record. Reference of the sale, reservation, client,... modified. This field is linkable, selecting the number in blue will take you to the details of the selected record.

Latest emails

Section: Main Menu > Tools > Latest emails

This article will help you understand this list and its functionality. From this list you can consult the entire history of emails sent from the system. You will find the list ordered from most recent to oldest.

This list can be used for:

  • See exactly the email a customer has received

  • See the format of emails we are sending. Ideal to see how the latest changes to a template have turned out

  • In case of a shipping error, it gives you a clue about that error so you can solve it.

To see more details about that shipment:

  • Select the Filter button to look for the desired email

  • Select on the ID of that email

Scheduled tasks

Section: Main Menu > Tools > Scheduled Tasks

Scheduled Tasks is one of the great advances in this new version. It does not have a section where you can configure anything, but it gives you information on how many times each task has been activated.
This module allows you, as the name says, to automate certain repetitive and manual tasks. Here some examples:

Now available :

  • Reservation reminder . Send an email to each player with a reservation X minutes, hours or days before the reservation.

  • Birthday congratulation . Automatically send an email to the client who has a birthday. It is necessary that you register your client's date of birth, and that they have an email.

  • Cancellations Sign up . Cancel activity proposals that have not reached a minimum number of registrants and notify those registered.

  • Issue receipts to partners, generate those invoices and send them by email.

Contracts

Section: Main Menu > Tools > Contracts

If you want to digitize contracts, you will have to have previously downloaded the Contracts module.

As in any list, you can use the available tools to filter, search, export, import. If we go into the details of a contract you can:

  • Edit

  • New

  • Print

  • Sign . To use the digital signature, we recommend that the device on which the client is going to sign be digital so that they can sign with a digital pen or with a finger.

    • Select the Sign button

    • The client can now sign

    • Select the Sign button

    • You will preview the Document along with the client's signature to Print and/or Download

Once downloaded, to create a new template, from the Configuration Menu > Tools > Contract Templates:

  1. Select the New button

  2. Create the contract template
