Waitlist

Waitlist turns excess demand into a pipeline. When a booking hits a restriction, your team, or the pet owner, can add it to the waitlist instead of losing it. When a spot opens up, you'll have an organized list ready to work, not a pile of sticky notes.

Why We Built This

When you're fully booked, every “sorry, we're full” is an opportunity to understand more about your demand. Today means tracking interest by hand, in notes, spreadsheets, or a binder at the front desk. Requests fall through the cracks, cancellations reopen slots slowly, and there's a lot of manual work to maintain and fill these spaces.

What It Means for You

  • Stop losing full-schedule demand. Capture the request instead of relying on them to call you.

  • Fill cancellations faster. A dedicated, sortable and filterable list means you're not digging through notes to find who's next.

  • Give customers a real answer. “We'll call you” becomes a visible waitlist entry with its own confirmation, not a vague promise.

  • Less manual tracking for the front desk. Pet, owner, dates, and value all live on one entry, pulled straight into the booking flow at conversion.


How It Works

Waitlist entries are lightweight by design - no invoice or reservation is created until you actually convert one.

1. Add a request to the waitlist. When a booking hits a restriction (like no availability) and staff override it, they'll see the option to add it to the waitlist instead of booking.

2. Pet owners can add themselves, too. If a customer hits a restriction during online booking, they can join the waitlist right there.

❗ This is optional and controlled per location.

3. Manage the list from the Waitlist page. Filter by date, service type, or status, sort by visit date, time on waitlist, or estimated value, and search by pet or owner name.

4. Work an entry from its side panel. Click a pet name to see pet, owner, and request details, and mark the entry Contacted or Removed as things progress.

5. Convert it to a booking. Select Accept Waitlist entry to open the booking flow in a new tab with service, dates, and pet(s) pre-filled. Front desk finishes the rest, including offers and any deposit, and the entry updates to Converted.


❗ A Few Things to Know

  • Grooming and Meet & Greet are excluded, since grooming already has its own request flow that works like a waitlist.

  • Entries don't expire automatically. They stay Waitlisted until staff take action, and simply won't show once the page's date filter moves past their requested dates.

  • No deposit is taken while an entry is on the waitlist. Standard deposit rules apply once it's converted to a reservation.

  • Offers aren't pre-selected on conversion. Front desk still selects add-ons and packages as part of finishing the booking.
