Groovio allows students to use their wallet balance to pay for memberships. However, it's important to understand how the system handles future payments when a wallet balance is used for the first payment.
How Payments Are Processed
First Payment Using Wallet Balance
If a student has sufficient funds in their wallet and selects the wallet as the payment method, the system will deduct the first membership payment from the wallet balance.
Subsequent Payments
The next scheduled payment will attempt to charge the same payment method used for the previous payment.
If the wallet was used for the first payment and has insufficient funds, the system will not automatically switch to the card on file.
The system does not default to charging the student wallet unless explicitly selected as the payment method.
What Happens When Wallet Funds Run Out?
If the wallet balance is insufficient for the next payment:
The payment will fail, and the membership will be marked as failed payment.
The student (or an admin) will need to manually select the card on file to process the payment.
After selecting the card on file for the failed payment, future payments will continue to charge the saved card.
How to Resolve Failed Payments
If a membership payment fails because the wallet balance is insufficient, follow these steps:
For Students:
Open the Groovio app.
Navigate to Memberships.
Click Pay Now next to the failed payment.
Choose Card on File as the payment method.
For Admins:
Go to Groovio > Manage Studio > Students.
Search for the student.
Go to the Membership tab.
Click Pay Now next to their membership.
Select Card on File and confirm the payment.
Best Practices
If students wish to continue using their card on file after using the wallet for the first payment, they should manually select the card on file for the next payment after the wallet balance is used.
Encourage students to check their wallet balance and card details before a payment cycle to avoid failed payments.
