Groovio’s integrated Leads Management system helps studios track, manage, and convert potential students directly within the platform.


📍 Where to Find It

  • Groovio > Marketing > Leads

  • Groovio > Marketing > Lead Form Builder


🔴 Unseen Lead Notifications

A red dot will appear next to the Marketing tab and Leads button when a new, unseen lead is submitted. This helps your team spot and follow up on new leads faster.


🧩 Leads Pipeline

Leads are displayed in a drag-and-drop pipeline with the following stages:

  • New Lead – Automatically added when someone submits your lead form or creates a Groovio account connected to your studio

  • Next Intake – For leads to follow up with before your next intake period

  • In-Progress – You’ve contacted them, but they haven’t started a trial yet

  • Trial Started – They’ve begun a trial class or intro offer

  • Trial Completed – The trial period has ended

  • Won – The lead converted into a paying student (membership or package)

  • Lost – The lead is no longer interested

To update a lead's status, simply drag and drop their card between stages.


➕ Adding & Editing Leads

Add a Lead Manually

Click Add Lead to create a new contact. You’ll be asked for:

  • Full Name

  • Email Address (required)

  • Phone Number (optional)

  • Notes (e.g. class preferences, past experience)

Edit a Lead

Click the lead’s name, then click Edit Lead to update any details.


📥 Importing Leads via CSV

Click Import Leads to upload a spreadsheet of contacts. Your file should include:

  • Name (required)

  • Email (required)

  • Phone

  • Notes

Duplicate email addresses are automatically skipped. After importing, you’ll see a summary of:

  • Successful leads added

  • Any rows skipped due to invalid/missing data

  • Duplicate email entries


🧱 Lead Form Builder

Use the Lead Form Builder to create a custom contact form. You can:

  • Add standard fields (Name, Email, Phone)

  • Add custom fields (Text, Text Area, Select)

  • Mark fields as required

  • Add a public description for the form

  • Preview the form live

Sharing the Form

Once created, you can:

  • Copy Link to share a standalone hosted form

  • Copy Embed Code to add the form to your website


📝 Viewing & Managing Leads

Click any lead to:

  • View full contact details and notes

  • Add internal notes (supports multiline formatting)

  • Mark the lead as Unseen if you want to follow up later

  • Delete the lead if they are no longer relevant

All notes are saved in real-time, making it easy for your team to collaborate on lead follow-ups.


✅ Tip

Leads can come from multiple sources: the contact form, manual entry, or import. Each lead will be labeled with its source.
